This position supports NAVFAC EURAFCENT facilities, construction, and program requirements. The selected candidate will work as part of a multidisciplinary team supporting U.S. Navy and Department of Defense projects in Europe and will be employed locally through a third-party employer of record.

The Functional and Administrative Support Specialist provides day-to-day administrative, records, correspondence, data, and customer-service support to NAVFAC EURAFCENT project and office teams. This is a full-time, primarily on-site position located in Sigonella, Sicily, Italy; Rota, Spain; Souda Bay, Greece; or Naples, Italy.

Responsibilities

  • →Receive, review, route, track, and maintain correspondence and administrative actions
  • →Create, classify, cross-reference, archive, and retrieve electronic and hard-copy records in accordance with established procedures
  • →Prepare and format letters, reports, spreadsheets, presentations, charts, and other office products
  • →Maintain databases, trackers, distribution lists, calendars, and recurring reports
  • →Provide reception and customer service support and coordinate visitor or installation access requests
  • →Track suspense items and follow up with staff to support timely completion of required actions
  • →Assist with travel orders, vouchers, requisitions, time and attendance, training records, organizational charts, and personnel paperwork
  • →Research administrative issues, compile information, and brief staff on status or recommended actions.

Requirements

  • Must already have the legal right to work in the country of the assigned duty station; U.S. visa or SOFA-status sponsorship is not available
  • Professional fluency in English and in the host-nation language of the assigned duty station
  • Demonstrated administrative support experience, including records management, correspondence, filing, and office procedures
  • Advanced proficiency with Microsoft Office, including Word, Excel, PowerPoint, Outlook, tables, charts, and reports
  • Strong typing, writing, grammar, proofreading, organization, and attention to detail
  • Ability to work professionally with government personnel, contractors, visitors, and customers in a multinational environment
  • Ability to manage multiple priorities, protect sensitive information, and meet deadlines
  • Experience supporting an engineering, construction, military, or government office is preferred
  • Experience with electronic document management or workflow systems is preferred
  • Must obtain required installation access and complete applicable background screening

  • Navigate uneven or rough terrain when required
  • Work indoors and outdoors in varying weather conditions
  • Occasionally enter confined spaces or work at heights when required
  • Wear required personal protective equipment
  • Work in environments that may include noise, dust, fumes, chemicals, electrical hazards, construction activity, or other site specific conditions
  • Professional fluency in English and in the host-nation language of the assigned duty station.
  • Demonstrated administrative-support experience, including records management, correspondence, filing, and office procedures.
