Responsibilities
~2 min readThe CIO J-6 /PAE Operations Analyst/ Executive Admin is responsible for but not limited to assisting the CIO J-6/Program Acquisition Executive (PAE) with the following tasks:
- →Manage and maintain the Deputy CIO (DCIO)/ PAE daily and long-range calendar, ensuring scheduling alignment across DCIO and PAE Medical Services.
- →Manage and process all travel requirements for executive staff, including itineraries, Defense Travel System (DTS) coordination, and engagement logistics.
- →Assist in coordination of senior leader engagements, external visits, and high-level events, ensuring protocol considerations and front office support requirements are met.
- →Serve as a liaison between J-6 / PAE senior leadership front office and internal/external stakeholders, ensuring smooth communication flow and professional coordination
- →Provide administrative support to the broader J-6 CIO Executive Assistant team, including executive coverage, scheduling coordination, and front office continuity.
- →Support executive document control and records management processes by ensuring proper filing, organization, and compliance with internal governance standards.
- →Develop and maintain standardized workflows, templates, and collaboration processes to support front office continuity and operational efficiency.
- →Track, manage, and oversee executive taskers, suspense actions, and reporting requirements to ensure accountability and timely leadership awareness.
- →Support executive-level meeting preparation by organizing read-aheads, capturing action items, and maintaining leadership follow-up mechanisms.
- →Other tasks as assigned.
- →Prior DHA, Military Health System, or DoD experience desired.
- →Work Hours: Monday-Friday 0800-1600 (flexible).
- →Travel: occasional travel may be required to support customer events and meetings.
Requirements
~1 min read5 years with BS/BA; 9 years with a high school diploma
Experience supporting senior executives, flag/general officers, SES personnel, or comparable leadership.
Proven ability to serve as a professional liaison among senior leaders, staff offices, external organizations, and other stakeholders.
Experience organizing executive correspondence, records, files, and controlled document workflows in accordance with organizational governance requirements.
Have or obtain favorable Tier 1 (i.e., Public Trust) investigation.
Government contract requires person possess proof of U.S. citizenship.
