DESCRIPTION
The Office Assistant III is responsible for performing a variety of clerical and administrative duties to support departmental operations. This position requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.
QUALIFICATIONS
-High school diploma or equivalent required; additional education or vocational training in office administration or related field preferred.
-Minimum of two years of clerical or administrative experience in a professional office environment, preferably in a municipal or utility setting.
-Must possess a valid Driver's License Class C at time of placement.
KNOWLEDGE, SKILLS, AND ABILITIES
-Proficiency in MS Office suite (Word, Excel, Outlook) and other office software applications.
-Strong organizational skills with the ability to prioritize tasks, manage time effectively, and meet deadlines.
-Excellent communication skills, both written and verbal, with the ability to interact professionally with diverse stakeholders.
-Attention to detail and accuracy in data entry, record-keeping, and document management.
-Ability to maintain confidentiality and handle sensitive information with discretion and integrity.
-Flexibility to adapt to changing priorities and work independently or collaboratively as part of a team.
MAJOR DUTIES
-Provide administrative support to departmental staff, including answering phones, responding to inquiries, and directing visitors.
-Assist in the preparation and distribution of departmental correspondence, reports, and documents.
-Maintain electronic and physical filing systems, ensuring accurate and timely retrieval of information.
-Process and track departmental invoices, purchase orders, and other financial transactions.
-Coordinate meetings and appointments, including scheduling, room reservations, and preparation of meeting materials.
-Assist with data entry, record-keeping, and database management tasks to maintain accurate and up-to-date information.
-Prepare and process various forms, applications, and permits related to water and sewer services.
-Assist in inventory management, including ordering supplies, tracking inventory levels, and maintaining inventory records.
-Collaborate with other departmental staff to support special projects, events, and initiatives as needed.
-Other duties as assigned.
This position is an essential service position and will require providing services during emergency situations.
