The Firm Administrator at BBA Law is a newly created role that aims to streamline operations, allowing firm leadership to focus on growth and client advocacy. As the operational right hand, you will have a direct impact on improving efficiencies and ensuring the smooth functioning of firm operations, all while supporting the firm's mission of delivering superior legal solutions to Michigan families.

 

Responsibilities

  • Billing and Financial Oversight: Own key aspects of the billing cycle by reviewing time entries for accuracy, capturing billable activities and expenses, preparing invoices, and maintaining consistent accounts receivable follow-up.
  • Operational Compliance: Monitor day-to-day staff activity and matter workflows, catching errors, missing information, and incomplete steps before they become larger operational issues.
  • Lead and CRM Management: Ensure leads are accurately captured, properly tracked, and followed up on promptly, while maintaining clean CRM data and identifying opportunities to improve the intake process.
  • Administrative Support: Serve as an operational extension of firm leadership, coordinating administrative priorities, supporting key workflows, and ensuring important follow-up does not fall through the cracks.
  • Process Development: Build and maintain practical SOPs and repeatable processes that improve consistency, accountability, and efficiency across the firm.
  • Law Firm Experience: Experience in law firm operations, billing, bookkeeping, or office management is preferred, with an understanding of legal workflows being a strong advantage.
  • Technology Proficiency: Comfortable working in Clio or similar practice management software, CRM systems, spreadsheets, and reporting tools, with the ability to learn new systems quickly.
  • Organizational Skills: Exceptional attention to detail with the ability to stay on top of multiple workflows, catch inconsistencies, and follow through without frequent reminders.
  • Communication Skills: Clear and professional written and spoken English, with confidence communicating with staff, clients, vendors, and insurance providers.
  • Proactive Problem Solver: Able to spot issues before they become larger problems, take initiative, and find solutions independently without requiring constant direction.
  • Remote Work Readiness & Reliability: Ability to work U.S. hours, with reliable access to necessary technology and demonstrated success working independently in a remote, structured work setting.
