We are seeking a detail-oriented and proactive Purchasing Assistant to support our Packaging Procurement Department. In this role, you will assist with supplier sourcing, order tracking, product record maintenance, and vendor/customer communications. You will play a key role in ensuring the cost-effective and timely procurement of goods, helping to maintain an efficient and reliable supply chain.


Responsibilities

  • Research and identify potential overseas suppliers.
  • Obtain and compare quotations from vendors.
  • Negotiate pricing, terms, and conditions with suppliers.
  • Prepare cost analyses to support purchasing decisions.
  • Build and maintain strong relationships with suppliers and vendors.
  • Monitor supplier performance and ensure compliance with company standards and regulatory requirements.
  • Serve as a point of contact for vendor-related inquiries and issues.
  • Manage product samples and maintain product specification records.
  • Organize purchasing files and documentation.
  • Ensure procurement records are accurate and up to date.
  • Process order confirmations and maintain purchasing records.
  • Review and verify Purchase Orders (POs), track production and shipping timelines, and liaise with suppliers to ensure timely delivery.
  • Resolve delivery delays, damaged shipments, shortages, non-conformities, and other supply chain issues.

Requirements

  • Fluent in English (written and spoken).
  • Chinese language skills will be considered a strong asset.
  • Bachelor's degree in Business Administration, Supply Chain Management, Procurement, or a related field preferred.
  • Minimum of 2 years of experience in purchasing, procurement, and/or supply chain operations.
  • Experience working with overseas suppliers is an advantage.
  • Experience using Enterprise Resource Planning (ERP) systems.
  • Strong proficiency in Microsoft Office Suite, particularly Microsoft Excel.
  • Ability to prepare cost analyses and maintain procurement documentation.
  • Thorough understanding of distribution channels, supplier management, and vendor networks.
  • Excellent verbal and written communication skills with strong negotiation abilities.
  • Strong analytical and problem-solving skills with the ability to interpret data and support decision-making.
  • Highly motivated, results-oriented, and capable of managing multiple priorities in a fast-paced environment.
  • Exceptional attention to detail and strong organizational skills.
