The Legal Administrative Assistant will provide a full range of secretarial, clerical and administrative support to the Risk Management Department, including in-house counsel and risk managers. This position is fully onsite at our office in Lake Oswego, Oregon. 

 

 

 

Responsibilities

  • Provide administrative and litigation support to multiple attorneys, including organizing case files, coordinating discovery, and managing litigation documents. Assist with new project support, tracking worker's compensation data, processing commercial construction contracts.   

  • Document management (including copying, scanning, filing, archiving).

  • Conference/meeting room coordination and set up, departmental mail processing, scheduling and travel coordination for risk management department.

  • Processing expense reports for risk management department 

  • Process vendor and outside counsel invoices 

  • Annual EEO Filing

  • Process unemployment claims 

  • Manage and maintain the Risk Management SharePoint site and departmental resources.

  • Assemble & Maintain job start up kits & doctor posters for jobsites

  • Organize and disburse mail to RM department

  • Update company policies and verbiage in Employee Guidebook annually

  • Assist with preparing Quarterly /EEO training power point 

  • Maintain weekly meeting notes for RM department

  • Help revise AIA documents in the AIA software

  • Archiving/Updating defense and indemnity agreements

  • Track and enter OCIP claims data for OSHA tracking

  • Assist Drug and Alcohol testing in tracking post-accident testing and results, as needed

  • Assist with mailing letters out certified and via Docusign

  • Research on history of legislature bills/calendar work sessions

  • Edit employment manual and update on Sharepoint

  • Perform other administrative related duties as assigned in support of Risk Management department.

  • Standing/Walking/Sitting: workday is combination of standing, walking and sitting 

  • Must be able to climb stairs: 5% of day  

  • Hands/Arms: constant use of hands/fingers for mouse/keyboard/computer use  

  • Sight: visual acuity in near, mid and far range vision. Color vision, peripheral vision, depth perception, hand/eye coordination  

  • Hearing: sufficient to hear conversational levels in person and over the telephone 

  • Speech: sufficient to make oneself heard in person, speak in front of groups, and be understood over the telephone

  • Bending/Twisting: minimal  

  • Kneeling/Crouching/Crawling: minimal  

  • Constant mental alertness, accuracy, and attention to detail required  

  • Must be able to work independently, make decisions, and follow through on all assignments  

  • Must use creativity, independent judgment, and organizational and problem-solving skills to determine best method to accomplish desired results  

  • Must be able to plan and organize work  

  • Must possess strong organizational and computer use skills and have a high level of competency to read/write/speak English, interpret construction related documentation and communicate with coworkers  

     

 

Requirements

  • High school diploma or equivalent required; bachelor's degree preferred.

  • Minimum of two years of office experience in the legal, construction, engineering, or architectural industry; legal experience strongly preferred.

  • Proficiency with Microsoft Windows and Microsoft Office Suite, including Excel, Word, and Outlook.

  • Experience with litigation support software and computer applications.

  • Experience with Relativity, Microsoft Access, or other document management systems preferred.

  • Knowledge of legal practices, legal records, and legal procedures.

  • Familiarity with document development and document management processes.

  • Excellent organizational, planning, and time management skills.

  • Strong verbal and written communication skills.

  • Exceptional attention to detail and accuracy.

  • Demonstrated analytical and problem-solving abilities.

  • Ability to maintain confidentiality and handle sensitive information with discretion.

  • Ability to work collaboratively in a team environment.

  • Ability to prioritize competing deadlines and perform effectively in a fast-paced environment.
