Responsibilities

→Provide user support for the corporate DMS system
→Analyze user requests, errors, incidents, and change requests
→Collect, clarify, and formalize business requirements for new DMS processes
→Participate in the design and implementation of new workflows, including document approvals, contracts, acts, powers of attorney, correspondence, SOPs, and other business processes
→Coordinate system enhancements with external consultants or developers
→Test new processes, functionality, and system changes before deployment to the production environment
→Control the correctness of roles, access rights, approval routes, and process settings
→Prepare user instructions and conduct basic user training

Participate in the development of corporate reporting based on Power BI
Collect requirements from business users for new reports and dashboards
Describe report logic, key metrics, data sources, and calculation rules
Cooperate with Finance, HR, Operations, and other business functions to understand reporting needs
Coordinate work with Power BI developers or external vendors
Test completed reports and verify the accuracy of data and calculation logic
Support existing Power BI reports, including error analysis, change requests, and relevance control
Participate in building a unified approach to corporate analytics and reporting structure
Prepare report descriptions, user instructions, and short explanations for business users

Communicate with business users to understand their needs, issues, and expectations
Translate business requests into clear requirements for the IT team or external vendors
Prioritize requests together with the IT manager and business process owners
Conduct demonstrations, testing sessions, and collect feedback after the launch of new solutions
Support users in the proper use of DMS, Power BI, and other business applications

Manage tasks related to DMS processes in ticketing or project management systems such as Redmine, Jira, Service Desk, or similar tools
Monitor task statuses, deadlines, and quality of delivery
Document requirements, decisions, changes, and testing results
Prepare short status updates on tasks and projects
Participate in planning the roadmap for DMS and Power BI reporting development

Prepare and update documentation for DMS processes
Prepare user guides, FAQs, and short instructions
Maintain a catalogue of Power BI reports, including report name, owner, data sources, purpose, and refresh frequency
Monitor the quality of implemented changes after go-live

Requirements

At least 2 years of experience in the role of Business Analyst, IT Business Applications Specialist, DMS Specialist, ERP/CRM Support Specialist, or a similar position
Experience in supporting or developing business applications
Understanding of the principles of business process design, workflows, and approval processes
Experience in collecting and documenting business requirements
Ability to communicate effectively with business users and technical specialists
Experience in testing changes in business systems
Basic understanding of reporting, KPIs, data sources, and calculation logic
Strong Excel skills
Understanding of Microsoft 365: Teams, SharePoint, Outlook
Ukrainian language — fluent, English language — sufficient for reading documentation and basic business communication

Nice to Have

Basic knowledge of Power Query, DAX, or SQL would be an advantage, but is not mandatory
