BuyerProcurement & Purchasing

Fire Creek Services Company, an All Native Group company, is seeking a Buyer to procure the parts, materials, equipment and services our HVAC, electrical and general maintenance crews need to keep Fort Campbell barracks systems running. The Buyer places and manages orders against Blanket Purchase Agreements (BPAs), keeps vendors on schedule, and maintains a clean, audit-ready procurement file. The role also provides administrative support to the program team as needed.

  • Request, collect and compare vendor quotes for parts, materials, equipment and services; document the basis for each award.
  • Place calls and purchase orders against established BPAs for HVAC, electrical, plumbing and general maintenance materials.
  • Track BPA ceilings, call limits, expiration dates and spend; flag when agreements need renewal or modification.
  • Follow company procurement policy and applicable FAR/DFARS flow-downs for purchases outside existing BPAs.
  • Source parts for emergency and priority work orders to minimize system downtime.
  • Verify pricing, quantities and delivery terms before order release; resolve discrepancies with vendors.
  • Set up new vendors in the purchasing/accounting system: collect W-9s, insurance certificates, SAM.gov registration and small-business status, and banking/remittance details.
  • Maintain vendor master records and relationships with local and national suppliers; identify qualified alternate and small-business sources.
  • Expedite late orders, coordinate deliveries and base access, and track vendor performance on price, lead time and quality.
  • Track all receipts for program purchases and match them to POs, work orders and receiving documents.
  • Compile receipts and supporting documentation and submit them for customer billing on schedule.
  • Process vendor invoices: three-way match against PO and receipt, resolve discrepancies, code to the correct charge, and route for approval and payment.
  • Maintain complete purchase files: requisitions, quotes, approvals, POs, receipts and invoices.
  • Track material spend against program budget and report monthly to the PM; support government and internal audits.
  • Provide administrative support as needed: program files and logs, timekeeping, onboarding paperwork, base access requests, training records, routine reports and meeting scheduling.
  • Hands-on experience placing orders against and managing Blanket Purchase Agreements (BPAs).
  • Working knowledge of purchase order processes, quote documentation and three-way matching.
  • Proficiency with Microsoft Office (Excel, Outlook, Word) and a purchasing or ERP system.
  • Strong organization, attention to detail and follow-through.
