An exciting opportunity has arisen for an Assistant Facilities Manager. Support the EMEA team in leading site operations, vendor teams, and stakeholder relationships for a facility in Heidelberg, Germany. Serve as the primary on-site contact, managing budgets, maintenance, contract services, procurement, and helpdesk operations.

Responsibilities

  • Deliver excellent customer service and build effective relationships with clients and stakeholders across all levels
  • Implement industry best practices and maintain building procedures, performance measures, and Critical Environment requirements
  • Provide part-time reception coverage and hands-on support for facility tasks as needed

  • Coach and motivate team members and vendors to ensure quality service delivery
  • Support training, development, and performance excellence within the team
  • Manage vendor procurement in accordance with client and JLL guidelines

  • Assist in monitoring site financial operations, budget targets, and cost control
  • Ensure contracts deliver best value and are managed professionally within budget
  • Monitor contract expiries and support re-procurement processes

  • Implement safety procedures and ensure compliance with statutory fire, health, and safety regulations
  • Support risk management programs, business continuity plans, and incident reporting procedures
  • Maintain adherence to JLL's business conduct and compliance guidelines

Requirements

  • Professional level of both, German and English
  • Experience in facilities management, property management, hospitality, or related field
  • Proven vendor management and commercial contract interpretation skills
  • Budget management and financial analysis experience
  • Knowledge of local health and occupational safety requirements
  • Strong people management and communication abilities
  • Extensive Microsoft Office proficiency
