KEY DUTIES

Compile the daily dream report – ensuring all required information is provided to you on time. This needs to be updated and recommunicated whenever there is change to it.

Assist the Assistant Fleet Manager in the day to day running of the transport operations, including supervision of Captains, Boat Captains and Crew, and to ensure that regular training sessions (including cross training) are held and attended.

Ensure all guest arrival and departure boats are clean, set up and running on time. Ensure communication with the Front Office Department with any delays or boat issues.

Ensure patrol stock is maintained properly

Ensure transport logs are updated

Ensure all monthly time sheets are updated and sent to Finance by 25th of each month

Ensure all food allowance vouchers, transport logs and fuel report submitted to Finance by the end of each month.

Requisitioning of all office stationery requirements.

Ensure department runs cost effectively, monitoring fuel consumption on all boats.

Communication with all Departments, ensuring the accuracy of all boat movement times.

Holding daily briefing meetings with all transport staff on shift covering the day aheads operations as a communication tool.

Ensuring company procedures are followed and relevant documentation is completed.

Forward planning and forecasting of future arrivals and departures, focusing on special requirements.

Liaise with Reservations to ensure lines of communication remain open

Rostering of all Transport staff including planning for rostered days off and annual leave.

Maintaining shift checklists and associated procedures and ensuring all staff are provided with sufficient on-the-job training in all Transport duties

Assisting with the coordination of emergency communication requirements

Ensuring correct charges are processed for all guest movements.

Organising appropriate arrangements for guests whose transfer and travel arrangements have been disrupted by weather and equipment breakdowns

Daily monitoring of rostered start times and ensuring this is accurately reflected in the time sheets.

Ensure safety of all passengers with restocked first aid crew, life jackets are on board and safety equipment is functioning.

Make staff ferry reservations ensuing boat is booked with in capacity.

Ensure staff ferry runs to schedule and all detours are communicated to the crew.

Provide regular feedback to employees on performance and teamwork

Provide training for all employees on all aspects of the departmental operating procedures

At all times, keeping updated on product knowledge of resort and related activities

Maintaining excellent grooming and hygiene ensuring all grooming standards are met in relation to personal grooming and uniform presentation

Complying with Resort Safety & Environment policies, initiatives and legislation

Abiding by all Work Place Health, Safety and Hygiene regulations at all times

Abiding by the guidelines set out in the Employee Handbook

Carrying out any other duties as directed by the Front Office Manager in the absence of Assistant Fleet Manager

Ensuring that both the office is kept in a clean and tidy condition at all times.

Transfers & Boat Operations

Every evening check the schedule for transfers and excursions for the following day. Be familiar with the details regarding the trips including number of guests, their names and any special requirements.

Prepare boat set up, according the requirements of the trip and the operating procedures. Always make sure there are sufficient cold towels, beverages and sea sick bands required for each trip. Additionally, during rainy season, make sure that there are enough raincoats and towels available on board.

Go through the check list and make sure that everything on the check lists are followed

Ensure that if you or the crew member miss a meal while on a trip, coordinate with transport Manager or coordinator, and ensure that the food is prepared for them from the resort or get the meal from the place that you are going. Make sure that the cost of that meal must be the price set by the management unless authorise by Assistant Fleet Manger.

Ensure that the boat is clean, set-up and waiting on the guest jetty, 30 minutes prior to each trip, with the crew members. All team members must following the Resort grooming and uniform standards.

Make sure all trips are as comfortable as possible for all guests, whilst ensuring their safety and catering to their needs.

Boat Maintenance & Safety

Always follow the maritime law, rules and regulations as set forth by the Ministry of Transport & Communication of the Republic of Maldives.

Ensure that the Sea Worthy certificate is on board, and ensure all its requirements are followed.

Carry on your person your Captain's License during all trips.

Clean the boat and equipments. Ensure that the boat is in good working condition at all times and report any maintenance issues immediately. Follow up maintenance issues with Transport Manager or Coordinator until it is resolved.

Carry out all the maintenance work of the boat or its engine with engineering department delegates and update Assistant Fleet Manger until it is resolve.

Maintain and at times, build anchor points and nautical navigation lights.

Always be responsible and take precautionary measures to avoid any risky incidents. For example, ensure there are no petrol leakages that life jackets are available, that fire extinguishers are in working condition etc.

In cases of inclement weather, ascertain whether trips can be made and advise Assistant Fleet Manager accordingly.

Carry onboard the Boat Mobile phone at all times when you are on duty. Ensure that it is fully charged before each trip. Ensure that onboard radio set is in working condition.

At all times keep in mind guest and crew safety first, and drive the boats accordingly.

Communication

Communicate between Airport Hosts and the Resort Operators to co-ordinate arrival and departure times, and any other guest issues and requests faced during the trip.

Communicate regularly and as required any issues with boats or guests to the Assistant Fleet Manager.

Inform to Assistant Fleet Manager if any items onboard including and not limited to beverages, seasick bands, seasick bags, Kandima Maldives fact sheets/brochures need to be replaced.

Handle guest queries in a timely and efficient manner and provide any information sought by the guest.

Resolve guest issues to the guest's satisfaction within your level of authority. Write incident reports regarding any incidents during the trip.

Get feedback from guests during the trips and inform the department to ensure proper follow up and actions are taken place.

Team & Development

Attend training programs as designated by the resort.

Be motivated and committed, approaching all tasks with enthusiasm and seizing opportunities to acquire new skills or knowledge in order to improve your personal performance, and ultimately the guest service.

Maintain a high level of team spirit by developing excellent relationships with the team and colleagues from other departments, and support them in the pursuit of departmental and resort goals.

Always have a positive attitude and take initiative to resolve issues.

General

Be familiar with the Transport Department, Front Office and Resort Standard Operating Procedures and ensure that they are followed.

Contribute ideas and suggestions to enhance the procedures in the Resort.

Actively promote the services and facilities of Kandima Maldives to guests and other stakeholders of the Resort.

Keep updated on changes to other areas of resort product and share such information with your team and department on an ongoing basis.

Maintain excellent grooming and hygiene and ensure all grooming standards are met in relation to personal grooming and uniform presentation.

Comply with Resort Safety & Environment policies, initiatives and legislation.

Abide by all Work Place Health, Safety and Hygiene regulations at all times.

Abide by the guidelines set out in the Employee Handbook.

Attend all trainings requested by Management.

Carry out any other duties as directed by the department or the Resort General Manager.

PERFORMANCE STANDARDS:

As a senior member of the department, he/she is required to set the highest standards of performance both within his department and as an example for others outside his department.

To be appraised by the Base Leader
