About the Role

We’re looking for a highly organized and proactive Business Operations Coordinator to support the day-to-day execution of our business operations. This role is critical in turning strategy into action, ensuring projects stay on track, systems run smoothly, and teams are aligned.

You’ll work closely with the COO and cross-functional teams to manage logistics, improve processes, and keep key initiatives moving forward. If you thrive in fast-paced environments, love bringing structure to complexity, and have a strong attention to detail, this role is for you.

Responsibilities

  • Partner with the COO to manage priorities, schedules, and key deliverables
  • Track operational activities such as invoices, contracts, and project milestones
  • Prepare meeting materials, summaries, and internal reports
  • Maintain organized digital files and documentation systems
  • Support execution of strategic initiatives and special projects
  • Track progress against goals and ensure follow-through on key deliverables
  • Coordinate meetings, document action items, and monitor completion
  • Document and maintain standard operating procedures (SOPs) and workflows
  • Maintain and improve internal systems (e.g., Monday.com, Harvest, shared drives)
  • Ensure data accuracy, organization, and version control
  • Troubleshoot basic system issues and coordinate with vendors as needed
  • Build and manage templates, trackers, and dashboards
  • Coordinate logistics for marketing initiatives and client projects
  • Track pipeline activity including leads, proposals, and onboarding progress
  • Maintain organized documentation and reporting for business development efforts
  • Ensure consistency in branding and materials across channels
  • Assist with recruiting coordination and onboarding logistics
  • Maintain organizational documentation (org charts, role descriptions, etc.)
  • Support team meetings, engagement initiatives, and company events
  • Track completion of trainings, surveys, and performance processes
  • You don’t wait to be told what to do, you anticipate needs and act
  • You bring structure to ambiguity and create systems that scale
  • You’re just as comfortable executing tasks as you are improving processes
  • You take ownership and pride in getting things done right

Requirements

  • 3-5 years of experience in operations, project coordination, or administrative roles
  • Strong organizational and time management skills
  • Experience with project management tools (Monday.com preferred)
  • Proficiency in Microsoft Office
  • Clear, concise communicator, both written and verbal
  • High attention to detail and strong follow-through
  • Comfortable working with sensitive information and maintaining confidentiality
  • Bachelor’s degree in Business, Operations, or related field (or equivalent experience)
