Purpose of Role

The HR Assistant provides administrative and operational support to the Human Resources Department of school and other related business unit’s under Panyathip Group, with a primary focus on accurate documentation, employee records management, and coordination of HR processes across the employee lifecycle. The role ensures all HR records, systems, and processes are maintained in a timely, organised, and compliant manner.

KEY ACCOUNTABILITIES:

HR Documentation & Employee Records

  • Prepare and manage employee documentation from onboarding to off-boarding based on HR checklist to comply with safer recruitment standard (e.g. contracts, qualification, ID, police clearance documents and etc) 
  • Ensure all employee records are accurately maintained, updated, and properly uploaded to the HR system and individual files. 
  • Maintain organised and audit-ready digital and physical filing systems 
  • Ensure accuracy, completeness, and version control of all HR documents 
  • Handle all employee information with strict confidentiality 

Onboarding & Off-boarding Administration

  • Support onboarding processes, including preparation of employment documents and new joiner files 
  • Ensure all required documents are collected, verified, and filed prior to employee start date 
  • Coordinate induction administration as required 
  • Assist in off-boarding processes, including preparation of clearance forms and final documentation
  • Ensure timely completion and proper filing of all exit documentation 

Insurance, Visa & Compliance Support

  • Prepare and process insurance claim forms and supporting documentation 
  • Liaise with staff and external providers to ensure timely submission and follow-up of claims 
  • Assist with preparation forms and tracking of visa and work permit documentation 
  • Maintain up-to-date records of employee visa, permit, and compliance status 
  • Support compliance with internal policies and local regulatory requirements 

HR Systems & Data Management

  • Ensure accurate and timely data entry into HR systems and trackers 
  • Maintain and update employee databases, leave records, and HR logs 
  • Support data accuracy for reporting, payroll inputs, and audits 
  • Regularly check and correct data discrepancies 

HR Operations & Administrative Support

  • Prepare payment requests and support internal approval and clearance processes 
  • Track HR administrative processes to ensure completion within timelines 
  • Support preparation of HR reports and summaries as required 
  • Assist in ensuring smooth day-to-day HR operations 

Recruitment Coordination Support

  • Arrange interviews, meeting rooms, and logistics 
  • Prepare interview documents and ensure readiness for recruitment activities 
  • Maintain candidate records and support communication as required 

Employee Support & HR Service

  • Respond to basic HR queries in a timely and professional manner 
  • Provide guidance on standard HR processes (e.g. documentation, claims, forms) 
  • Escalate complex issues to the appropriate HR team member 

General Support

  • Support HR projects and initiatives as assigned 
  • Ensure tasks are completed within agreed timelines and service standards 
  • Perform other administrative duties as required by the HR team 

ESSENTIAL KNOWLEDGE, ABILITIES AND QUALIFICATIONS

  • Diploma to Bachelor’s degree in Human Resources, Business Administration, or related field 
  • Strong administrative and organisational skills 
  • High attention to detail and accuracy 
  • Good written and verbal communication skills in English 
  • Proficiency in Microsoft Office (Word, Excel, Outlook) 
  • Ability to manage confidential information with discretion 


DESIRABLE EXPERIENCE, SKILLS AND INTERESTS

  • Previous internship or administrative experience in HR 
  • Familiarity with HR systems or document management systems 
  • Basic understanding of HR processes and compliance requirements
