Delivering high-level operational support within a property management environment, this position leads the end-to-end financial administration for a portfolio of community schemes, including Sectional Title Schemes and Homeowners’ Associations (HOAs). The position takes ownership of accurate record-keeping up to trial balance, levy collection, budget coordination, vendor payments, statutory compliance, and payroll processing. Operating across both administrative and governance functions, the role ensures full alignment with statutory requirements, precise monthly financial reporting, and seamless operational flow across all managed schemes. The position calls for exceptional detail orientation, sound accounting knowledge, and a commitment to maintaining high standards in financial stewardship. Full time, on - site position from 08:30 - 17:00 Key Responsibilities Financial Administration & Reporting: Maintain precise financial records up to trial balance using WeConnectU; manage cashbooks, bank reconciliations, and investment accounts; maintain separate Administrative and Reserve Fund records; and compile monthly financial packs including balance sheets, income vs. budget, and utility reconciliations. Budgeting & Levy Management: Prepare annual draft budgets using historical and projected data; assist with finalisation and trustee approvals; process monthly levy billing, meter allocations, and owner statements; and manage arrears and debit order collections. Creditors & Cash Flow: Verify, code, process, and settle supplier invoices on bi-weekly payment cycles; maintain creditor records; manage service provider debit orders; and execute approved reserve fund transfers and investments. Statutory Compliance & Governance: Administer quarterly CSOS payments; support POPIA, PAIA, UIF, and Workmen’s Compensation requirements; coordinate annual SARS income tax submissions via the appointed accountant; and maintain scheme insurance, banking, and governance records. Payroll & Audit Coordination: Process monthly payroll and statutory submissions (PAYE/UIF); prepare audit files; process audit journals to align trial balances; complete year-end procedures; and lock financial periods on WeConnectU post-audit. Transfers & Client Administration: Issue clearance certificates and consent letters; reconcile accounts and process refunds during property transfers; assist with onboarding new owners; and resolve financial disputes or queries professionally. Requirements Practical experience in financial administration, accounting, or property/community scheme finance. Sound understanding of core accounting principles and working knowledge of reconciliations up to trial balance. Strong organizational skills with proven ability to manage varied workloads and meet strict deadlines independently. Clear and professional written and verbal communication skills. Proven proficiency working with financial, payroll, and cloud-based software platforms. Desirable Requirements Prior experience managing Sectional Title Scheme or Homeowners’ Association (HOA) finances.
