Maintenance parts & inventory specialist maintains structure of the maintenance department, providing administrative and support for the maintenance staff This position is responsible for managing all aspects of maintenance inventory. Gather quotes for parts with the best competitive pricing; while coordinating with all purchasing representatives, to ensure low pricing with efficient timing. . Independent judgment required to plan, prioritize, organize, and execute a diversified workload. Maintain shop security at all times

Act as a liaison with other departments and outside agencies, including high-level staff such as owners and managers. Will have contact with all levels of personnel within the company

Handles confidential and non-routine information . Works independently and within a team on special nonrecurring and ongoing projects .Must be responsible in all actions, and maintain confidentiality and discretion at all times

Responsibilities

  • →Preventive Maintenance (PM) and Demand Maintenance (DM)
    • →Maintain, update, and track activities in the computerized maintenance management software (CMMS, currently HIPPO)
    • →Generate, issue, track, receive, and log all PM and DM
    • →Maintain records for all maintenance activities
  • →Perform Root Cause Analysis to determine reasons for DM
  • →Adhere to Personnel Processing Practices in IPL's Food Safety Plan as determined by the Food Safety Management System
  • →Help with maintenance on production machines as needed.
  • →Perform clerical duties
    • →Establishes, develops, maintains and updates filing system for the all maintenance records and retrieves information from files as needed
    • →Deal with a diverse group of important external callers, visitors, vendors, as well as internal contacts at all levels of the organization
    • →Prepare correspondence, reports, and written materials for personnel and management
    • →Maintain all maintenance, operation, and parts manuals for equipment
    • →Issue daily / weekly parts purchased and parts consumed report
    • →Issue weekly report of costs of parts purchased and parts used
    • →Photocopying & Record keeping
  • →Correctly, label, deliver, and store all goods in their proper locations.
  • →Maintain clean and orderly parts room and inventory through Microsoft Dynamics (AX)
  • →Must be proficient in the use of Microsoft Dynamics (AX) as it pertains to orders and inventory of parts.
  • →Monthly perform inventory counts and ensure AX matches the physical count
  • →Other duties as required by management or supervision
  • →Inventory Control
    • →Maintains parts, tool, and supply inventory levels to mitigate downtime
    • →Catalog all parts in HIPPO for quick inventory reference of "on-hand" level as required
    • →Maintain inventory counts regularly as determined by management
    • →Maintain inventory levels, adding parts received to and subtracting parts used from the inventory
    • →Must be able to usage out spare parts and distribute to the proper equipment.
    • →Organize and maintain all parts storage by aisles and shelves with machine part name or description, and manufacturer part number

Purchasing

  • →Work with management to determine par level requirements of parts and materials
  • →Maintain open communication with department employees and purchasing reps
  • →Must find the best pricing for maintenance parts and services.
  • →Maintain sufficient parts and materials levels
  • →Maintain parts log of all Purchase Orders issued
      • →Date

      • →Item number or code
      • →Item description
      • →Item Trade number
      • →Quantity ordered
      • →Quantity received
      • →Item Cost
      • →Extended cost including shipping or freight costs

Requirements

  • Strong troubleshooting, reading, writing, problem solving, computer, and organizational skills
  • Must be team-oriented with the ability to work with others and without direct supervision
  • Ability to follow verbal and written instruction, as well as basic math calculations
  • Must proficient in the use of all office machines, equipment, computers and Microsoft Office
  • Must have manual dexterity, attention to detail and ability to prioritize work schedule and multi-task
  • Must be able to work both buildings
  • Good physical condition with the ability to lift up to 25 lbs frequently
  • Must be able to perform the following: standing, climbing, pulling, and or pushing, carrying, grasping, reaching, twisting, turning and stooping
  • Ability to walk and/or stand for extended periods of time

Must pass a pre-employment background check and drug test

  • While performing the duties of this job the employee will work in a manufacturing facility and regularly be exposed to:
    • Manufacturing environment – heights, loud noises, etc.
    • Varying and extreme temperatures (heat/cold and wet environment)
