A fast-growing, technology-driven insurance and risk management company is seeking an experienced and highly detail-oriented Agency Billing Specialist to own the full billing and cash management lifecycle across a complex portfolio of insurance programs.

This role is critical to ensuring accurate premium processing, carrier payments, invoicing, reconciliation, and premium trust management. The successful candidate will work cross-functionally with internal operations teams, Risk Advisors, clients, and insurance carriers to maintain billing accuracy and operational efficiency.

Key Responsibilities

• Prepare and send client billing communications, including payment instructions and payment links through Ascend
• Generate payment links for agency-billed policies, admitted carriers, and platform-related fees
• Process invoices for:
  • Financed policies
  • Carrier installment plans
  • Flat fees
  • Performance fees
  • One-time invoices
• Handle billing for:
  • Monetary endorsements
  • Tail policies
  • Policy cancellations
• Issue and track direct-bill payment instructions to insureds, including carrier portal details
• Maintain accurate billing records and policy billing data within internal systems
• Upload carrier invoices and statements into WC Admin and Ascend platforms

• Manage and maintain the premium trust account with a high degree of accuracy
• Reconcile carrier agency-billed statements to determine:
  • Net amounts payable to carriers
  • Commission amounts payable to the company
• Review and approve outbound premium and commission payouts in Ascend prior to disbursement
• Ensure all inbound and outbound cash flows are routed accurately and on time
• Process return premiums for policy cancellations and premium adjustments
• Upload and maintain all related return premium documentation within internal systems

• Manually reconcile client payments received through:
  • Bill.com
  • Tipalti
  • Ramp
  • Justworks
  • Other payment platforms
• Process accounts payable transactions and ensure accurate payment routing
• Monitor payment statuses across multiple billing channels
• Follow up with clients regarding outstanding invoices and overdue balances

• Respond to billing-related inquiries from clients and carriers
• Provide:
  • Payment instructions
  • Billing summaries
  • Invoice copies
  • W-9 documentation
  • Remittance confirmations
• Handle payment disputes and assist with resolution
• Guide clients to access invoices and billing information through administrative dashboards
