Salary Range: USD $1,200 to $1,500 per month

The company is seeking an experienced Accounts Administrator to support our finance, job administration and operational workflows.

This is a hands-on administrative position with a strong focus on job costing, invoicing and maintaining accurate job records. The successful candidate will help ensure that labour, materials, supplier costs, variations and supporting documentation are correctly recorded before jobs are invoiced.

The role will also provide general job administration support, including maintaining job files, following up missing information, assisting with client documentation and helping project managers and operations staff keep jobs moving through each stage of the workflow.

This is not a general virtual assistant or basic data-entry position. We are looking for someone who is experienced, organised, numerically confident, process-driven and comfortable taking ownership of tasks through to completion.

Experience in an electrical, trade, construction, maintenance or service-based business would be highly regarded.

Responsibilities

  • Review and complete job costing within SimPRO
  • Check that labour, materials, supplier invoices, purchase orders, subcontractor costs and variations are correctly allocated
  • Identify missing costs, incorrect allocations, discrepancies and unusual job margins
  • Process creditor and supplier invoices
  • Match supplier invoices against purchase orders and job records
  • Prepare, raise and issue customer invoices
  • Confirm jobs are financially complete and ready for invoicing
  • Support accounts receivable, invoice follow-ups and reconciliation processes
  • Assist with month-end administration and reporting preparation where required
  • Set up and maintain accurate job records in SimPRO
  • Maintain job files, client records and supporting documentation
  • Follow up project managers, technicians and internal staff for missing information
  • Assist with purchase orders, variations and job documentation
  • Upload invoices and supporting documents to client portals
  • Support insurance and service job administration
  • Check that required client documents, photos, reports and approvals have been received
  • Assist with closing completed jobs and ensuring outstanding administration is finalised
  • Support project managers and operations staff with general job-related administration
  • Maintain clear task lists and follow outstanding items through to completion
  • Identify recurring errors, delays or process issues and raise them early

Requirements

  • Strong spoken English is a must
  • Proven experience in accounts administration, job costing, finance administration, bookkeeping or project administration
  • Experience with job costing, invoicing or financial administration in a trade, construction, maintenance or service-based business
  • Strong understanding of labour costs, materials, supplier invoices, purchase orders and variations
  • Experience using SimPRO is strongly preferred
  • Experience with MYOB, Xero or a similar accounting platform
  • Strong numerical accuracy and attention to detail
  • Ability to work independently and manage multiple priorities
  • Confidence following up internal staff for missing information
  • Ability to identify errors and investigate discrepancies
  • Comfortable working within structured systems and processes
  • Strong general computer skills, including Microsoft Excel and Microsoft Office
  • Electrical, HVAC, construction or trade services experience
  • Australian accounts or finance administration experience
  • Insurance job administration
  • High-volume service or maintenance job processing
  • SimPRO reporting and job management experience
  • Candidates with only executive assistant or general virtual assistant experience
  • Candidates whose experience is limited to basic data entry
  • Candidates without practical invoicing, job costing, or accounts administration experience
  • Candidates who require close supervision to complete routine tasks
