We’re looking for an organised and proactive Operations Administrator to join our team and play a key role in keeping our day-to-day operations running smoothly.
This is a varied role where you’ll work across Operations, Projects, Engineering and Sales, supporting resource planning, project coordination, administration and third-party supplier management.
Responsibilities

Coordinating engineer availability, resource allocation and project schedules.

Managing daily HubSpot and Kantata queues, ensuring actions are completed on time.

Maintaining accurate operational records, spreadsheets and systems.
- →
Supporting Project Managers and Coordinators with project administration, documentation and timelines.
- →
Monitoring timesheets, expenses and payroll-related information.
- →
Liaising with internal teams, customers and third-party suppliers.
- →
Maintaining our approved supplier and subcontractor database.
- →
Supporting supplier onboarding and monitoring supplier performance.
- →
Helping identify process improvements and cost-saving opportunities.
- →
Providing general operational support to the Resource Manager and wider team.
You’ll be highly organised, confident managing multiple priorities and comfortable working in a fast-paced operational environment.
We’re looking for:
Previous administration, coordination or operational experience.
Strong attention to detail and excellent organisational skills.
Good knowledge of Microsoft Office, particularly Excel.
Strong communication skills and confidence working with different stakeholders.
A proactive, positive attitude and willingness to go the extra mile.
The ability to stay calm under pressure and keep things moving.
Experience with resource scheduling, project administration, engineering/field-based teams, CRM or project management systems would be advantageous.
