Creative Arts Project Manager

Purpose of the Job:
The Creative Arts Project Manager (“CAPM”) plays a key role in bringing vision to life across the Creative Arts Department. Working in close partnership with the Creative Arts Pastor, the CAPM provides high-level operational leadership and coordination to ensure that projects, services, and creative initiatives are executed with excellence.
This role serves as a central liaison for Creative Arts—collaborating with Worship, Production, Communications, and location teams—while managing project timelines, communication flow, and logistical details. The CAPM helps ensure that creative ideas move forward with clarity, alignment, and follow-through.
Experience and Knowledge Required:
- Ability to manage multiple projects, details, and teams effectively in a fast-paced, multi-location environment.
- Minimum of one year in project coordination, administrative support, event planning, or related experience (church or creative environment preferred but not required).
- Excellent verbal and written communication skills.
- Strong interpersonal and relational skills; able to work well with staff, volunteers, and ministry partners.
- Demonstrated ability to exercise good judgment, confidentiality, and discretion in a variety of situations.
- Proficiency in Microsoft Office applications.
- Ability to quickly learn and utilize ministry platforms such as Planning Center Online (PCO), Asana, and other creative workflow tools.
- Basic familiarity with creative environments (graphics, video, photography, or social media) is encouraged.
- Strong organizational and time-management skills with a proven ability to meet deadlines and follow through.
- Demonstrated problem-solving skills and the ability to anticipate needs and proactively remove obstacles.
Essential Functions & Responsibilities:
Creative Operations & Project Coordination
- Lead the coordination and execution of Creative Arts projects, including weekend services, sermon series assets, seasonal experiences, and special events.
- Develop and manage project timelines, ensuring that all deliverables are clearly communicated, aligned across teams, and completed on time.
- Monitor the status of ongoing design, video, and communications projects, ensuring details are captured, priorities are clear, and deadlines are met.
- Provide consistent updates to the Creative Arts Pastor, ensuring visibility into project progress and needs.
Administrative & Operational Support
- Manage the day-to-day administrative operations of the Creative Arts Department, ensuring tasks and communication are handled efficiently and proactively.
- Organize, maintain, and improve file systems, digital assets, shared drives, and departmental documentation for team and volunteer accessibility.
- Prepare and edit correspondence, reports, presentations, and project documents on behalf of the Creative Arts Pastor and team.
- Coordinate scheduling, task tracking, follow-ups, and cross-location project alignment.
- Attend Creative Arts team meetings, record notes and action items, and ensure follow-through on assignments and deadlines.
Weekend & Event Support
- Provide hands-on logistical support for weekend services and events, helping ensure smooth and excellent execution.
- Assist with coordination of materials, communication, scheduling, procurement, and other event-related needs.
- Participate in weekend services and key events as required to support the Creative Arts team. (Flexibility is built into the workweek.)
- Occasional evening responsibilities during events or special projects
Volunteer & Serve Team Support
- Assist in recruiting, onboarding, and scheduling Creative Arts Serve Team members (including photography, video, graphics-support, production, and/or worship arts roles as needed).
- Maintain consistent communication, care, and support for Creative Arts volunteers, helping them feel valued, equipped, and connected.
- Assist in coordinating volunteer trainings, meetings, and appreciation initiatives.
Communication & Department Liaison
- Serve as a primary point of contact for Creative Arts inquiries via email and phone.
- Facilitate clear and timely communication between the Creative Arts Department and internal ministry partners, in collaboration with the Communications Director.
- Relay information, updates, and requests to the Creative Arts Pastor, Graphic Designer, and Video Producer to keep workflows moving efficiently.
Creative Awareness & Support
- Develop a working knowledge (or willingness to learn) of graphic design, videography, photography, and/or social media workflows to better support team processes.
- Provide basic creative coordination support as needed—such as gathering assets, preparing files, coordinating shoots, or assisting with social media initiatives.
General Responsibilities

- Support weekend or event needs and run ministry-related errands as requested.
- Perform all other duties as assigned by the Creative Arts Pastor.

Physical Demands:
- Ability to stand and walk for extended periods during events, services, or on-location tasks.
- Ability to lift and carry materials, equipment, or supplies (up to a reasonable weight, e.g., 25–40 lbs.).
- Occasional driving for errands, events, or inter-location coordination.
