We are looking for a Global People Experience Specialist to support employees and new hires across Japan

In this role, you will manage local global mobility, immigration, relocation, and onboarding activities in Japan. You will coordinate with employees, hiring managers, internal stakeholders, and third-party vendors to ensure smooth and timely employee experience. You will also support local People Operations and compliance activities that require in-country action.

This role is ideal for someone who is highly organized, detail-oriented, service-minded, and comfortable managing multiple cases and stakeholders in an international environment.

  • Manage mobility cases, including visas, relocations, renewals, and cancellations.
  • Ensure cases are completed accurately, on time, and in line with regulatory requirements.
  • Maintain accurate records and escalate risks or delays affecting relocation or start dates.
  • Partner with immigration, relocation, and other third-party vendors to deliver required services.
  • Coordinate stakeholders, track case progress, and follow up on outstanding actions.
  • Monitor vendor service quality, resolve issues, and ensure timely support for the employees.
  • Coordinate onboarding and Day 1 logistics for new hires and conduct new hire orientation.
  • Ensure new hires have the information, access, equipment, and support needed to start successfully on site.
  • Communicate with new hires before Day 1 and provide guidance on mobility and onboarding requirements.
  • Respond to employee questions and act as the local point of contact throughout the onboarding process.
  • Support local People Operations, statutory, regulatory, and employment-related requirements
  • Maintain compliance records and escalate potential risks or issues
  • Identify opportunities to improve processes where possible.
  • Share local insights and contribute to consistent processes
  • Support process documentation, knowledge sharing, and other People Operations activities as required.

  • 5+ years of people operations, employee engagement, or Global Mobility & immigration-related working experience
  • Experience coordinating multiple stakeholders and working with third-party vendors
  • Experience managing cases, processes, or employee support activities independently
  • Strong organizational and time-management skills, with the ability to manage multiple cases and deadlines.
  • Excellent communication and interpersonal skills, with a strong service-oriented mindset.
  • Ability to work effectively with international employees, local hires, hiring managers, vendors, and cross-functional teams.
  • High attention to detail and the ability to manage sensitive employee information with discretion.
  • Proactive problem-solving skills and the ability to follow up, escalate, and drive actions to completion.
  • Ability to work independently while collaborating effectively with a manager and team based in another location.
  • Professional fluency in English, both written and spoken
  • Ability to manage priorities and remain effective in a fast-paced, international environment.

  • Knowledge of local onboarding, immigration, employment, or compliance processes.
  • Experience delivering new hire orientation or employee-facing presentations
  • Experience using Workday, Greenhouse, ServiceNow, and Zendesk
  • Experience supporting local statutory or regulatory requirements.
  • Familiarity with working across different time zones and cultures.
