The Office & People Coordinator plays a key role in keeping our Athens office running smoothly every day. Working closely with the HR Operations team, you will manage office administration, reception and facilities, coordinate vendors, travel and events, and support day-to-day people processes. Your goal is to help create a welcoming, organised and efficient workplace for our employees, leadership and visitors.
Responsibilities
~1 min read- →Oversee day-to-day office operations, ensuring seamless administrative functionality, welcoming guests, managing communications, and handling incoming/outgoing mail and deliveries.
- →Manage facilities coordination, liaising with building management and external vendors for cleaning, maintenance, and facility repairs.
- →Optimise physical office spaces and ensure all workplace equipment and environments are maintained in top condition.
- →Lead reception operations and access control, including issuing digital card access in line with security protocols, setting up meeting rooms and being a key point of contact for internal and external visitors.
- →Support HR processes such as the Digital Employee Card system, timesheet reconciliation and assist with onboarding-related administrative tasks.
- →Coordinate corporate travel logistics, meeting schedules, and company-wide events to ensure seamless execution.
- →Maintain office purchasing systems and invoice processing, onboarding new vendors as needed to support operational needs.
- →Establish and refine administrative workflows to maintain consistency, efficiency, and organisational standards.
- →Ensure full compliance with health and safety regulations by managing appointments and coordinating regulatory standards across the office.
- →Deliver exceptional stakeholder support internally and externally, proactively resolving inquiries and escalating complex concerns.
Requirements
~1 min read- Further qualification in Business Administration, Office Administration, or a related field
- Excellent verbal and written communication & interpersonal skills
- Excellent command of the English language
- Ability to utilise Microsoft and Google technologies to a level sufficient enough to analyse data and produce letters, reports, spreadsheets, and presentations
- Comfortable working with digital tools and systems, with the ability and willingness to quickly learn applications such as Jira
- Ability to time manage to effectively get things done, can work on multiple activities at once to accomplish objectives.
- Committed to continuous personal development
- 1-2 years of experience in a similar field
- Experience in a customer service role with general office administration, with experience exposure to areas such as travel arrangements, PO administration, vendor coordination, and office supplies and inventory management.
- Proactive and self-motivated with a strong ownership mindset and a constructive approach to challenges.
- Highly organised and detail-oriented, with the ability to manage and prioritise multiple tasks in a fast-paced environment.
- Strong interpersonal and customer service skills, with the confidence to communicate professionally across all levels.
- Process-driven and reliable, adhering carefully to administrative, purchasing, and card issuance procedures.
- Practical problem-solving ability, resolving basic issues and escalating complex matters appropriately.
- Adaptable and quick to learn new tools, processes, and systems.
- High degree of integrity and discretion when handling sensitive or confidential information.
- Collaborative team player who is approachable, supportive, and willing to assist wherever needed.
