Sales Coordinator

About the Role

We are looking for a highly organised and proactive Product Manager to coordinate products from customer order through to timely delivery. The role will focus on project coordination, follow-up and communication between retail customers, suppliers, logistics partners and internal teams.

The successful candidate will ensure that product requirements, production schedules, shipping arrangements and delivery deadlines are closely monitored and followed up. You will act as the central coordinator, proactively identifying potential delays and making sure the right people take action to keep products moving and delivered on time to the customer.

Key Responsibilities

•Coordinate the end-to-end process from customer order and product confirmation through to delivery in EU and USA.

•Act as the central point of contact between retail customers in the EU and USA, Chinese factories, logistics partners and internal teams.

•Closely monitor production, shipping and delivery timelines and proactively follow up on outstanding actions.

•Follow up regularly with Chinese suppliers on production progress, order status, packaging, documentation and readiness for shipment.

•Coordinate with logistics partners to ensure shipments are arranged and delivered according to agreed schedules.

•Track shipments and proactively communicate any delays or risks that could impact customer delivery dates.

•Identify potential issues early and coordinate solutions with factories, logistics providers and internal teams.

•Ensure customer requirements, product specifications, quantities, packaging and delivery instructions are clearly communicated and followed.

•Maintain accurate order, product and delivery information in internal systems.

•Provide our customers with timely updates regarding order and delivery status.

•Coordinate product samples, approvals, documentation and other requirements needed to keep orders progressing.

•Work closely with Sales, Logistics, Quality and Finance to ensure smooth order fulfilment.

•Support continuous improvement of order coordination, communication and delivery processes.

Skills & Experience

•Experience in Product Management, Project Coordination, Order Management, Sales Support or Supply Chain Coordination, ideally within retail or consumer products.

•Proficiency in B2B customer platforms and digital business networks (e.g. SAP Ariba), with the ability to work effectively across relevant systems and tools.

•Experience working with EU and USA retail customers and international suppliers, preferably Chinese factories and a good understanding of international logistics.

•Strong follow-up and coordination skills with a proven ability to keep multiple projects and stakeholders on track.

•Excellent organisational and time-management skills.

•Strong attention to detail and proactive approach to identifying and following up on issues and finding practical solutions.

•Excellent written and verbal English communication skills and confidence communicating with stakeholders across different cultures and time zones.

•Proficiency in Microsoft Office, particularly Excel and Outlook.

•Ability to manage multiple priorities independently while maintaining clear communication with all stakeholders.

•Reliable, structured and persistent in following tasks through to completion.
