The Workplace Experience & Operations Coordinator is a key member of the Elemental Impact team, responsible for creating a thoughtful, welcoming, and efficient workplace experience. This role sits at the intersection of People Operations, workplace experience, and operations, helping ensure employees have the support, resources, and environment they need to do their best work. 

The ideal candidate is organized, proactive, detail-oriented, and passionate about creating a positive employee experience. They bring strong operational instincts, experience supporting payroll and other HR processes, and the ability to anticipate needs and independently manage a wide range of responsibilities including managing employee technology needs and equipment.

This role is based in Honolulu, Hawaii and will report to our Head of People & Legal, but will support across all functions. In-office attendance is required Monday to Friday each week.

Responsibilities

Partner closely with the People Ops team to support day-to-day programs, employee experience initiatives, and administrative processes.

  • Serve as a key administrator for Elemental’s PEO provider, maintain accurate employee information and serve as an internal resource for HR-related systems and processes
  • Own payroll administration and timekeeping processes, including reviewing employee time submissions, coordinating payroll changes, supporting payroll audits, and partnering with the PEO provider to ensure accurate and timely payroll processing
  • Support employee onboarding and offboarding logistics, including new hire paperwork, equipment coordination, workspace preparation, and employee transitions
  • Support benefits administration and serve as a resource for routine employee questions, escalating more complex questions when appropriate
  • Support employee recognition efforts, milestone celebrations, and initiatives that strengthen connection and belonging across the team
  • Assist with People Operations hiring, reporting, process improvements, and special projects

Own the day-to-day workplace experience for Elemental’s Hawaii headquarters, ensuring the office is welcoming, organized, and operates smoothly for employees, partners, and guests.

  • Act as a culture carrier for the Hawaii office and shared workspace, create a welcoming and thoughtful experience for employees and visitors, ensuring every interaction reflects Elemental’s values and spirit
  • Proactively anticipate team needs by maintaining office supplies, equipment, lunch, snacks, kitchen inventory, and shared resources
  • Manage incoming and outgoing mail, deliveries, and office communications with accuracy and timeliness
  • Build and maintain positive relationships with vendors and service providers to proactively address maintenance, repairs, and improvements, including serving as the liaison between Elemental and its landlord/shared workspace partners, approaching challenges with a solutions-oriented mindset
  • Champion office safety, security, and workplace protocols, while identifying opportunities to improve workplace processes, systems, and employee experience over time
  • Support logistics for team meetings, offsites, and other team events, including assisting with Hawaii events including: vendors, catering, materials, supplies, timelines, and day-of execution

Provide thoughtful operational support that helps teams work efficiently and ensures organizational systems remain effective and accessible.

  • Serve as internal IT coordinator, managing org-wide software subscriptions (ex: Zoom, Slack, Google Suite), vendor relationships, and user maintenance
  • Serve as a liaison with external IT partners, coordinating employee technology needs, equipment, onboarding/offboarding access, and troubleshooting
  • Maintain organized, accessible documentation, systems, and shared resources that support team efficiency and institutional knowledge
  • Support purchasing, expense coordination, and operational tracking as needed

Requirements

  • Strong organizational skills with the ability to manage multiple priorities while maintaining attention to detail and high-quality execution
  • Excellent written and verbal communication skills with a warm, service-oriented approach
  • Ability to build and maintain organized systems, processes, and workflows that keep operations running smoothly
  • Experience supporting payroll, onboarding/offboarding, HR administration, workplace operations, or related People Operations functions
  • Ability to handle confidential employee information with discretion, professionalism, and sound judgment
  • Previous experience planning, coordinating, and executing internal events, team gatherings, meetings, and moments of connection, with strong attention to detail and a focus on creating thoughtful employee experiences.
  • People Operations experience supporting core processes such as onboarding, employee communications, engagement initiatives, and day-to-day employee needs.
  • Experience managing, optimizing, and troubleshooting HR and workplace systems and tools, with an eye toward improving efficiency, user experience, and data accuracy.

What We Offer

This is a full-time "at-will" position working at least 40 hours per week. You may be asked to travel for work periodically. The salary for this role is $77,100 - $117,500 which is based on market data and the organization's compensation philosophy. Our offer will be within the range as required by certain state laws and individual salary offers will vary within the range depending on relevant education, knowledge, skills, and experience. We also offer comprehensive employee benefits, including a professional development stipend and three weeks paid time off. 

We are looking for candidates located near our headquarters in Honolulu, Hawaii as we expect this role to come into the office daily.
