POSITION SUMMARY
The Sr. Project Manager will lead complex, high-profile capital improvement, tenant construction, specialty construction, visitor-experience, and building-compliance projects across assigned ESRT properties and projects. This position will oversee projects from initial planning, design, and procurement through construction, turnover, and financial closeout, often within occupied and operationally sensitive environments.
The Sr. Project Manager will partner closely with Property Management, Leasing, Design & Architecture, Engineering and Operations, IT/AV, Finance and Accounting, Legal and Risk, Security, Sustainability, Marketing, and other internal teams to develop project strategies, establish budgets and schedules, manage consultants and contractors, and ensure projects are completed safely, efficiently, and in accordance with ESRT’s quality standards. This role will also provide project leadership, guidance, and mentorship to project management professionals and cross-functional project teams.
PROJECT MANAGEMENT:
- Lobby restorations and renovations
- Storefront renovations and replacements
- Corridor and restroom renovations
- Façade, roof, window, and Local Law 11/FISP work
- HVAC, electrical, plumbing, sprinkler, and other building-system improvements
- Pre-built and build-to-suit spaces
- Tenant-performed construction and alteration projects
- Specialty exhibit, visitor-experience, media, AV/IT, fabrication, and other technically integrated projects
- Direct all phases of design and construction, including programming, feasibility analysis, design development, budgeting, value engineering, scheduling, permitting, construction administration, commissioning, turnover, and closeout
- Conduct regular site visits to monitor progress, workmanship, safety, logistics, and compliance with approved plans and project requirements
- Develop and coordinate construction logistics for occupied and high-traffic environments, including tenant continuity, visitor impacts, noisy work, night work, freight, overtime, temporary protections, access, security requirements, and phased execution
- Identify potential project risks, delays, cost impacts, operational conflicts, and required decisions; develop mitigation plans, maintain current risk and decision tracking, and escalate significant concerns with clear recommendations when appropriate
- Support the development of annual and long-term capital plans by providing project budgets, forecasts, timing assumptions, risk assessments, and execution recommendations in partnership with Property Management, Leasing, Finance and Accounting, and other stakeholders
- Maintain accurate project forecasts, cash-flow projections, commitments, change-order logs, and cost-to-complete reporting
- Review proposals, bids, contracts, invoices, requisitions, and change orders for accuracy, completeness, and alignment with approved project scope and budget.
- Lead procurement and contractor-selection strategies, including RFP and bid-package development, bidder shortlisting, proposal analysis, scope leveling, bidder interviews, CM/GC and GMP evaluation, award recommendations, contract administration, and compliance documentation
- Monitor project financial performance and provide timely reporting on budgets, commitments, anticipated costs, variances, and cash flow
- Select, coordinate, and manage architects, engineers, contractors, consultants, and other project partners, holding each accountable for schedule, budget, quality, safety, and contractual obligations
- Coordinate project activities with building operations, engineering, security, and other stakeholders to minimize disruption to tenants, visitors, and ongoing property operations, including planning for access, freight, overtime, night work, temporary protections, and operational phasing
- Serve as a primary point of contact for tenants and internal stakeholders throughout the project, including kickoff meetings, progress updates, approvals of tenant-requested changes, possession-date notices, delay notifications, and issue resolution
- Prepare and deliver clear project updates and executive-level presentations that communicate progress, decisions, risks, financial status, and required next steps
- Build productive working relationships across internal teams and with tenants, consultants, contractors, and external partners
- Ensure construction meets approved drawings, specifications, contractual requirements, ESRT standards, and applicable building codes and regulations
- Coordinate project requirements involving DOB, FDNY, Landmarks, environmental consultants, special inspections, façade-compliance processes, permitting, testing, commissioning, and signoffs with project teams and relevant authorities
- Oversee project turnover and closeout, including punch-list completion, certificates and approvals, warranties, as-built drawings, operations and maintenance materials, final invoicing, and financial reconciliation
- Maintain authoritative project documentation across applicable PMIS, financial, scheduling, and collaboration platforms, including contracts, commitments, forecasts, invoices, schedules, meeting minutes, permits, risk and decision logs, and closeout records
- Develop and implement project-management standards, controls, templates, and best practices that improve consistency, transparency, and execution across assigned projects and the portfolio department
- Mange, coach, and develop a team of approximately one to three project management professionals
- Lead cross-functional project teams and provide day-to-day guidance, coaching, and mentorship to project management professionals as assigned
- Establish clear project roles, expectations, decision paths, and accountability standards, and coordinate project responsibilities with Design & Construction leadership based on business priorities and capacity
- Review project plans, controls, risks, and reporting when requested; share best practices and support consistent project execution across the team
