The Hotel Facilities Project Manager supports the planning, coordination, and execution of hotel-related capital, maintenance, refurbishment, and shipyard projects across the Lindblad Expeditions fleet.

Working closely with the Sr. Superintendent of Hotel, this position provides dedicated project management oversight to ensure hotel projects are delivered safely, on schedule, within approved budgets, and in accordance with Lindblad’s operational, brand, and guest experience standards. The role serves as a key link between shipboard teams, Technical, Supply Chain, Finance, contractors, vendors, and shipyards, with particular responsibility for project schedules, procurement tracking, contractor coordination, budget management, onsite shipyard execution, and project closeout.

Project Management: Develop and manage hotel project plans, schedules, milestones, budgets, risks, and deliverables from planning through execution and closeout.
Shipyard & Drydock Planning: Support the Sr. Superintendent in planning and follow up hotel scopes for drydocks, refits, refurbishments, and other vessel projects, ensuring scopes, materials, contractors, and timelines are aligned before vessel arrival.
Onsite Project Execution: Provide onsite project management during shipyards and major projects, coordinating contractors, vendors, shipboard teams, and internal stakeholders to ensure work is completed according to scope, schedule, quality, and budget.
Budget & Cost Tracking: Maintain detailed project budget tracking, commitments, forecasts, change orders, and actual expenditures, escalating potential overruns or variances early.
Invoice & Cost Coding: Coordinate invoice review, coding, and reconciliation during shipyard periods to ensure costs are accurately captured against the appropriate vessel, project, and capital or operating budget.
Procurement Tracking: Partner with Supply Chain to track purchasing, manufacturing, shipping, delivery, and installation of hotel FF&E, equipment, materials, and project supplies.
Contractor & Vendor Coordination: Coordinate contractors and vendors, including scheduling, access, onboard requirements, deliverables, and completion of assigned scopes.
Scope & Change Management: Maintain project scope documentation and track changes throughout execution, ensuring cost and schedule impacts are understood and appropriately approved.
Project Reporting: Maintain clear project dashboards and provide regular updates on schedule, budget, procurement, risks, open items, and completion status to the Sr. Superintendent and Hotel Operations leadership.
Quality & Project Closeout: Conduct project walkthroughs, maintain punch lists, track deficiencies through completion, and ensure documentation, warranties, invoices, and final project costs are properly closed out.
Cross-Functional Coordination: Work closely with Hotel Operations, Technical, Marine, Supply Chain, Finance, shipboard leadership, designers, shipyards, and external vendors to support successful project delivery.
Continuous Improvement: Capture lessons learned following shipyards and major projects and help improve project management tools, planning processes, cost controls, and execution standards across the fleet.

Requirements

BA/BS degree in Project Management, Construction Management, Engineering, Hospitality, Business, or related field preferred.
5–8 years of experience in project management, marine refurbishment, hospitality facilities, construction, shipyard operations, or a related field.
Demonstrated experience managing multiple projects, budgets, contractors, schedules, and procurement activities.
Cruise, maritime, hotel renovation, or shipyard experience strongly preferred.
Project management certification such as PMP preferred but not required.
Strong project management, organization, and execution skills.
Strong financial discipline and ability to manage project budgets and cost tracking.
Ability to manage multiple simultaneous projects and competing deadlines.
Strong attention to detail, particularly around scopes, procurement, invoices, and change orders.
Ability to identify project risks early and drive issues toward resolution.
Strong contractor and vendor management skills.
Comfortable working onsite in shipyards and operational vessel environments.
Ability to travel extensively during drydock and major project periods.
Proficiency in Microsoft Office, project management tools, and budget/procurement tracking systems.

Hybrid Work Schedule

Positions based in our New York and Seattle offices follow a hybrid work schedule, requiring employees to work in the office Tuesday through Thursday, with the option to work remotely Monday and Friday. Candidates must reside within reasonable commuting distance of their designated office.

Communication Skills

Using the English language, this person must have the ability to read, write, and comprehend policies, legal guidelines, correspondence, and memos. Must also possess the ability to effectively communicate--both in writing and orally--with a professional demeanor.

PHYSICAL DEMANDS

While performing the duties of this job, the employee is frequently required to sit, talk and hear. The employee will also be required to write and type. The employee is occasionally required to stand, walk, and reach with hands and arms.

COMPENSATION STATEMENT

Lindblad Expeditions determines the pay for positions using local, national, and industry-specific survey data. We evaluate external equity and the cost of labor/prevailing wage index in the relative marketplace for jobs directly comparable to jobs within our company. Our posted salary range is based on national data and may be refined for a candidate's region/town/cost of living.

For new hires, we strive to make competitive offers allowing the new employee room for future growth. Salaries will be based on the applicant’s location, level of experience, education, and specialized knowledge and skills. An employee/candidate with a stronger skill set will receive higher pay.
