As part of our continued investment in the Talent Acquisition HUB, this role will support planned growth across South Africa as we expand our centralised model. This includes ongoing investment in new processes, technologies, and solutions, such as AI and automation, to improve efficiency, quality, and the overall hiring experience.

The role operates Monday to Friday, with flexibility required to work South African public holidays where these do not align with the markets being supported; additional time off will be provided in return. Working hours are staggered between 07:30 and 10:00 start times to align with regional hiring needs, with schedules confirmed at least four weeks in advance. This role is office-based, with five days per week at our Sea Point office.

The Talent Acquisition Administrator plays a key enablement role within the EMEA Talent Acquisition HUB, providing structured administrative and operational support across high-volume, non-management hiring. 

This role is focused on executing defined processes with accuracy and consistency. You are responsible for supporting recruitment activity through system management, data validation, and backend hiring processes, enabling Talent Acquisition Coordinators and Recruiters to focus on delivery and stakeholder engagement. 

The role does not involve ownership of requisitions, hiring manager engagement, or candidate selection. You operate within a clearly defined scope, following established workflows and service standards. You identify issues early and escalate where required to maintain process integrity and delivery timelines. 

The ideal candidate is highly detail-oriented, process-driven, and comfortable managing high volumes of administrative activity in a fast-paced environment. You maintain a strong focus on accuracy, confidentiality, and continuous improvement. 

 

  • High School Diploma or equivalent required. 
  • Tertiary education i.e. University/College degree and/or diploma preferred. 

 

  • 2+ years’ experience in a general administrative role.  
  • Experience working with HR systems and/or workflow tools is an advantage; exposure to Applicant Tracking Systems is preferred. 
  • Previous experience within recruitment, shared services, and/or hospitality environments would add value. 
  • Excellent written and spoken business-level English is essential.  
  • Additional language skills are considered a plus. 

 

Responsibilities

  • Receive approved requisitions and conduct quality checks to ensure completeness, accuracy, and compliance. 
  • Create requisitions in the Applicant Tracking System (mHUB) on behalf of Coordinators and Recruiters, ensuring accurate role data and documentation. 
  • Schedule and coordinate recruitment intake calls with relevant stakeholders if applicable. 
  • Perform backend hiring activities in the recruitment system, including moving candidates to hire status and finalising the hiring process. 
  • Coordinate and track pre‑employment checks (including background and reference checks) in line with company policy and regional requirements. 
  • Monitor timelines and follow up on outstanding checks to ensure timely hiring completion; escalate issues or non‑compliance to the appropriate stakeholder/s. 
  • Prepare, maintain, and manage recruitment‑related documentation, correspondence, and reports as required. 
  • Provide administrative support to Talent Acquisition Hub initiatives and projects. 
  • Manage the Talent Acquisition central mailbox and address queries, troubleshooting issues with efficiency and urgency. 
  • Gather feedback to support continuous improvement of recruitment administration processes. 
  • Ensure sensitive and confidential information is handled with discretion and in accordance with data privacy and confidentiality standards. 
  • Perform additional administrative or operational duties as assigned to support team effectiveness and recruitment outcomes. 

 

  • Maintain confidentiality of employee, candidate, and business information at all times. 
  • Provide timely and accurate updates to supervisors and relevant stakeholders. 
  • Attend and actively participate in relevant meetings to stay aligned with departmental and/or company objectives. 
  • Comply with company policies, procedures, and service level agreements. 
  • Engage in continuous learning and professional development to enhance skills and knowledge. 
  • Performs other reasonable duties as assigned by management. 

 

  • Solid understanding of administration processes with a strong focus on accuracy, consistency, compliance, and data integrity.  
  • Proficiency in Microsoft Office Suite and preferably with Applicant Tracking System platforms.  
  • Proven ability to manage high-volume, repetitive administrative work efficiently in a fast-paced and at times high-pressure environment.  
  • Strong organisational and time-management skills with the ability to prioritise multiple tasks and consistently meet deadlines.  
  • Process-driven mindset with proactive problem-solving capabilities to identify issues and implement efficient solutions.  
  • Excellent verbal and written communication skills, supporting effective stakeholder engagement and service delivery.  
  • Ability to work independently while collaborating effectively within a shared services team.
