We are seeking a highly detail-oriented Finance & Operations Specialist to own the day-to-day financial operations, bookkeeping, budgeting, and operational reporting across multiple business entities.

This role is responsible for maintaining accurate financial records, monitoring budgets, reconciling transactions, preparing recurring reports, and providing leadership with timely financial visibility to support operational decision-making.

The ideal candidate combines strong bookkeeping fundamentals with an operational mindset. Rather than simply recording financial transactions, they proactively identify discrepancies, improve reporting processes, maintain financial accuracy, and ensure the business has reliable financial data to operate efficiently.

Success in this role requires someone who enjoys building organized financial systems, improving operational processes, and working independently within a fast-moving founder-led business.

This is not a Controller, CPA, or FP&A role. The primary objective is executing the company's financial operations accurately while supporting budgeting, reporting, and operational decision-making.

  • Experience supporting financial forecasting and cash flow planning

  • Accounting qualification or bookkeeping certification

  • Experience using BI or reporting tools such as Looker Studio, Power BI, or Tableau


Responsibilities

  • Maintain accurate bookkeeping records across multiple business entities

  • Record and categorize financial transactions in accordance with company procedures

  • Process accounts payable and accounts receivable activities

  • Reconcile bank accounts, credit cards, payment processors, and other financial accounts

  • Ensure financial records remain accurate, complete, and up to date

  • Maintain departmental and project budgets

  • Monitor spending against approved budgets

  • Track budget variances and investigate discrepancies

  • Prepare recurring budget reports for leadership

  • Support ongoing financial planning through accurate budget tracking

  • Prepare weekly and monthly financial reports and operational dashboards

  • Maintain KPI reporting related to revenue, expenses, profitability, and operational performance

  • Identify trends, risks, and unusual financial activity

  • Provide timely financial information to support business decisions

  • Maintain recurring expense trackers and operational reporting systems

  • Manage vendor records, invoices, and payment schedules

  • Support process improvements across financial and operational workflows

  • Maintain documentation, SOPs, and financial records

  • Assist with special operational projects as required

  • Identify opportunities to improve financial workflows and reporting accuracy

  • Help automate repetitive financial processes where appropriate

  • Recommend improvements to budgeting, reporting, and operational systems

  • Support implementation of new financial tools and business systems

Requirements

  • 3+ years of experience in bookkeeping, finance operations, accounting, or business operations

  • Hands-on experience maintaining bookkeeping records using QuickBooks, Xero, or similar accounting software

  • Experience managing accounts payable, accounts receivable, reconciliations, and financial recordkeeping

  • Experience maintaining operational budgets and tracking financial performance

  • Experience preparing recurring financial reports and operational dashboards

  • Experience supporting multiple business entities or business units

  • Experience supporting ecommerce or digital businesses

  • Advanced proficiency in Microsoft Excel or Google Sheets

  • Strong understanding of bookkeeping principles and financial documentation

  • Exceptional attention to detail and financial accuracy

  • Experience improving financial processes or implementing operational automation

  • Experience working within fast-growing founder-led businesses

  • Experience using AI tools to improve financial or operational workflows

  • Strong analytical and problem-solving skills

  • Ability to manage multiple priorities independently

  • Excellent written and verbal English communication skills
