About the Role
~1 min readWe’re looking for a highly organized, reliable, and action-oriented Workplace and Executive Coordinator to manage operations and provide recurring executive and administrative support.
This is a full-time role based in Montreal, combining workplace operations with executive coordination. You’ll work closely with the CEO, CTO, and the senior leader responsible for People and Executive Operations to keep our workplace functional, welcoming, and well-supported while owning recurring administrative workflows such as calendar management, travel, appointments, expenses, reminders, and logistics. As you build company context and develop trust, your scope will expand to include broader executive-support responsibilities.
Responsibilities
~1 min read- →Coordinate Montreal workplace operations, including office readiness, supplies, deliveries, access, vendors, and facilities follow-up
- →Support workplace-related coordination across the company as priorities evolve
- →Support the CEO and CTO with recruiting coordination and occasional onboarding logistics, in partnership with the Recruiting and People teams
- →Support recurring executive and workplace processes, including operational communications and mail logistics
- →Support executive and company events, including offsite and holiday-event logistics, meeting logistics and operational communications
- →Maintain organized trackers, documentation, and recurring processes that keep work moving smoothly
- →Build strong working relationships across the company and follow through on details with limited supervision
- →Gradually take on broader executive assistant responsibilities as trust, judgment, and familiarity with the company develop
- Experience in executive support, workplace coordination, office administration, or a similar operations role
- Demonstrated ability to handle confidential information and build trust through consistent judgment and follow-through
- Experience supporting calendars, scheduling, and travel coordination
- Strong organizational skills, follow-through, and attention to detail
- Strong written and verbal communication skills
- Good judgment, professionalism, and discretion when handling sensitive or time-sensitive tasks
- Comfort working in Google Workspace, Slack, and related coordination tools
- Ability to manage recurring responsibilities independently in a fast-moving environment
- Working proficiency in French and English
Nice to Have

- Experience maintaining trackers, documentation, or lightweight operational systems
- Comfort using AI tools to streamline recurring workflows, draft communications, and support day-to-day administrative work, with sound judgment around confidentiality and accuracy
