Client Operations Specialist (Healthcare) | Remote | Full-Time

We are a CMS-approved Qualified Clinical Data Registry and Medicare Shared Savings Program Accountable Care Organization (ACO) serving specialty and primary care practices across 12+ states, with a mission to support the independently owned medical practice model. Over the last few years, our clients have secured over $60M in protected revenue through MIPS management and benefited from shared savings generated in our ACO's first performance year. We are growing with intent.

The Role
At its heart, this is a coordination role for someone who can manage data and understands healthcare. You will be the connective tissue between our clients and our team: owning the flow of billing and clinical data from client practices into our application, keeping every engagement moving, and following up until every open item is closed. You will also support onboarding, contracting, and sales as we grow, and lend a hand to leadership with scheduling and administrative support when needed.

This is a coordination and support role, not an analyst role. You will not own independent analysis. You will, however, be trusted with healthcare data every day, so you need to understand what you are looking at.

Coordination here means more than email. When a data file is missing or a client goes quiet, you pick up the phone. Success in this role is often just a well-timed call.

You will work day to day with a senior member of our team, with a direct line to the founder and CEO. We will teach you our programs and our tools. What we can't teach is follow-through, and that is what we are hiring for. If you have ever chased down a missing data file across three follow-up emails and a phone call because "almost complete" wasn't good enough, you will fit in here.
A typical week

• Requesting billing data from client practices by email and phone, or pulling it directly from their systems where we have access
• Running reports from client medical record systems
• Checking every data set for completeness before it moves forward, and going to get what's missing when it isn't
• Cleaning and organizing client data in Excel and loading it into our application, troubleshooting when a file doesn't load right. Accuracy here is the product.
• Creating reports for clients, sending them out, answering their questions, and following up through completion. Your clients always know where things stand.
• Calling clients when an open item stalls, because a five-minute conversation often beats a fourth follow-up email
• Helping with client invoicing and payment follow-up
• Coordinating new client onboarding and contracts, sitting in on client meetings, and assisting through the selling process
• Pitching in on scheduling, meeting prep, and administrative support for leadership as needed

• Excellent follow-through. This is the first requirement for a reason. The role is a chain of open loops, and you close every one of them.
• A fast learner. We will teach you MIPS, our application, and our processes, and we expect you to pick them up quickly and run. If you have done work like chart abstraction or medical coding, where you had to master a detailed ruleset and apply it precisely, that is exactly the kind of mind we are looking for.
• A strong communicator. You will be corresponding with practice administrators and joining client calls, in writing and on the phone, and you represent us in both.
• Fluent in Excel. You can write formulas, analyze and clean up messy data, and reorganize a workbook into the format we need. You won't own independent analysis, but you should be able to take a broken spreadsheet and make it right.
• Comfortable with modern tools. We use Microsoft Office and AI tools like Anthropic's Claude every day, and we want someone who picks up new software quickly and actually uses it.
• Fluent in healthcare. You understand healthcare billing terminology on your own, without needing AI to translate. A background in healthcare quality, a medical office, chart abstraction, or a clinical or medical degree would be a real plus, and MIPS knowledge even more so, but we will teach the programs to the right person.
