Compensation:
- South Africa: USD $2,800-$3,800/month DOE
- Latin America: USD $3,000-$4,200/month DOE
- Philippines: USD $2,300-$3,200/month DOE
Schedule: Full-Time EST Mo-FR - Significant overlap with US business hours required.

Working with high-growth technology founders and leadership teams, they provide executive coaching, strategic advisory, founder development, culture transformation, fundraising support, hiring strategy, and organizational design. Their work combines deep operational experience with executive coaching to help leaders scale both themselves and their businesses.
Position Overview
This is not a traditional Executive Assistant position.
You'll become the operational extension of the founders, ensuring the business runs efficiently while creating leverage across operations, client delivery, internal projects, and executive priorities.
You'll own systems, improve workflows, coordinate cross-functional initiatives, manage priorities, remove operational bottlenecks, and proactively solve problems before they become distractions.
The ideal candidate thrives in ambiguity, enjoys creating structure from chaos, and naturally thinks several steps ahead.
Key Responsibilities
- Manage the founder's priorities, projects, and strategic initiatives.
- Own calendar management, scheduling, and executive planning.
- Ensure important commitments never fall through the cracks.
- Prepare meeting agendas, documentation, and follow-up actions.
- Anticipate needs before they arise.
- Improve and document internal processes.
- Create scalable operational systems.
- Manage internal documentation and SOPs.
- Coordinate cross-functional projects.
- Track deliverables across multiple initiatives.
- Support business planning and execution.
- Coordinate client onboarding.
- Ensure exceptional client experiences.
- Track coaching engagements and deliverables.
- Manage communication across multiple stakeholders.
- Maintain CRM accuracy.
- Coordinate contracts and client documentation.
- Own internal operational projects.
- Keep initiatives moving without requiring constant oversight.
- Coordinate external vendors.
- Track deadlines and milestones.
- Ensure accountability across the business.
Continuously identify opportunities to improve efficiency.
Recommend better tools, automations, and systems.
Reduce founder administrative workload.
Create reporting dashboards where appropriate.
Operate as a trusted business partner rather than simply executing tasks.
5+ years supporting founders, executives, or leadership teams.
Experience in Executive Operations, Chief of Staff, Business Operations, Operations Management, Project Management, or high-level Executive Assistance.
Strong project management capability.
Excellent documentation and process improvement skills.
- Experience with Notion preferred
- Highly proficient with Google Workspace.
- Proficient with AI tools including ChatGPT and Claude.
Strong understanding of business operations.
Excellent written English.
Outstanding organisational skills.
