About the Role
We are seeking an experienced and polished Operations Assistant to support our CEO and design team in streamlining operations and providing the highest level of service to our clients. The Operations Assistant will serve as the right hand to the head designer, managing administrative tasks, purchasing and procurement support, and client service functions. This is a dynamic role that requires exceptional organizational skills, a proactive mindset, and the ability to deliver a white-glove, luxury-level client experience.
Key Responsibilities
- Purchasing & Procurement: Coordinate with vendors, manage purchase orders, track shipments, and ensure timely delivery. Proactively resolve any issues or delays.
- Administrative Support: Oversee project milestones, coordinate client and vendor meetings, maintain client files, and process invoices. Collaborate with the bookkeeper as needed.
- Customer Service: Deliver a polished, white-glove client experience by managing inquiries, scheduling consults, sending invoices, and maintaining professional communication. Provide clients with weekly project updates.
Qualifications
- 3–5 years of experience as an Executive Assistant or Operations Associate, ideally in interior design, architecture, or building industry.
- Strong organizational and multitasking skills with proven ability to manage a fast-paced workload.
- Excellent written and verbal communication skills with a polished, professional demeanor.
- Experience in purchasing, procurement, or logistics management preferred.
- Skilled in Google Workspace (especially Google Sheets).
- Proficiency in Canva, Asana, or Houzz is a plus.
- Ability to work independently, prioritize effectively, and anticipate team needs.
