Operations Manager (Head of Property Management Operations)
Location: Remote (Latin America – Strong focus on Brazil)
Work Schedule: 8:00 AM – 5:00 PM EST
Compensation: Market Related

NON-NEGOTIABLES
This is a senior leadership seat, not a coordinator role. You will not be trained on the job and there is zero hand-holding.
- 8–12+ Years of Core Operations Leadership: You have a verifiable track record of directly managing distributed teams (4+ people) and running operational systems.
- U.S. Real Estate Experience: Direct, hands-on experience in U.S. property operations is strictly required—specifically involving lease-ups, asset repositioning, or the stabilization of newly acquired assets. Generic facilities, logistics, or hospitality management without U.S. real estate experience will not be considered.
- Proven Systems Architect: You must have personally designed, built, and enforced SOPs and KPI reporting frameworks from scratch in previous roles—not just worked inside systems someone else built.
- Flawless English Command: Your written and spoken English must be a perfect 5/5 with a low accent. You will interface directly with the U.S. owner and high-level stakeholders daily.
- AI & Tech Fluidity: You must be highly comfortable using AI tools (specifically Claude AI) as an operational multiplier to refine SOPs, build processes, and generate automated reporting.
WHY THIS ROLE EXISTS NOW
Our investment firm acquires and manages mid-sized residential buildings across the United States. Currently, the company owner acts as the daily bridge between four operational coordinators (Leasing, Maintenance, Capital Improvements, and Office Management). That model has reached its structural limit. We are hiring an Operations Manager to own that layer entirely. Your job is to manage the team, enforce the systems, run the reporting, and ensure the business operates seamlessly without the owner in the middle of daily decisions.
The groundwork is already done: The right people are in the right seats, 80% of our systems are documented, and our tool stack is set up. We need a Type-A operator to walk in, finish the remaining 20% of the systems, polish the SOPs, and shift the company into a high-performance, metrics-driven machine.
WHAT YOU WILL OWN
1. People Leadership & Accountability (40%)
- Direct Team Management: Lead a team of 4 coordinators (3 remote across LATAM/Philippines, 1 in-office in the U.S.) covering Leasing & Collections, Maintenance, Capital Improvements, and Office Management.
- Culture of Execution: Set clear expectations, define lanes, and hold every team member strictly accountable to their weekly KPIs and core schedules.
- Problem Solver: Act as the ultimate escalation point. When you bring a problem to ownership, it must always surface with a data-backed recommended solution attached.
2. Systems, SOPs & Tech Stack Optimization (25%)
- Process Polish: Take our existing SOPs from good to great. Ensure every recurring business function has a documented workflow linked to its task in Monday.com.
- Drive Adoption: Ensure systems run the business, not individual memory. Assess, simplify, and standardize workflows across all departments.
- Tool Stack Mastery: Own and optimize our tech stack: AppFolio, Monday.com, QuickBooks, Bill.com, Gusto, Melio, and SharePoint/OneDrive.
3. AI-Powered Reporting & KPIs (25%)
- AI Integration: Actively assist with and scale our Claude AI rollout. Use AI tools for rapid report generation, SOP refinement, and process improvement.
- Data-Driven Management: Own the weekly operational reporting cadence. Deliver clean, automated, AI-powered reports to ownership without requiring their manual involvement.
- Proactive Corrections: Identify operational gaps from data trends and fix them before they impact the bottom line.
4. Finance & Compliance Support (10%)
- Oversight: Supervise outsourced accounting functions to ensure AP/AR, reconciliations, and monthly closes are executed flawlessly.
- Financial Health: Review P&Ls and financial reports, flagging variances for ownership proactively.
- Risk Management: Maintain 100% compliance across vendor documentation, insurance renewals, and municipal regulations.

- Team Management: Full autonomy over task assignments, performance standards, and daily team rhythms.
- Financial Decisions: Autonomous approval on vendor and operational spending up to pre-set thresholds.
- Reporting & Escalation: Complete ownership of the format and delivery of weekly reporting metrics, backed by a structured weekly sync with ownership.

- Team Performance: Clear ownership is established across all operational lanes, resulting in a measurable reduction in maintenance, vacancy, and leasing errors.
