About the Role:
My client is seeking a highly organized, detail-oriented Project Coordinator / Project Manager to support the execution of commercial construction lighting projects across the United States. This individual will serve as a critical member of our project management team, helping coordinate orders, deliveries, client communication, manufacturer communication, scheduling, documentation, and project execution across dozens of active construction projects. While this role begins with a strong coordination and administrative component, successful team members will gradually take on greater ownership and responsibility as they learn our industry, systems, and processes. We view this position as a long-term career opportunity with a clear path toward increased responsibility and leadership within the organization. You do not need previous lighting industry experience to succeed. What matters most is your ability to learn quickly, stay organized, communicate effectively, and maintain exceptional attention to detail while managing multiple priorities.
What Makes This Role Different:
This is not a traditional administrative support role. The project management team oversees approximately 20 active projects simultaneously, each at different stages of completion. On any given day, you may be coordinating deliveries for one project, processing approvals for another, tracking orders for a third, and communicating with clients and manufacturers across several others. Success requires someone who can quickly switch between projects while maintaining complete clarity regarding project status, customer expectations, manufacturer requirements, and internal priorities. The work is fast-paced, detail-oriented, and highly collaborative. For the right person, it offers exceptional professional growth and long-term career development.
What You’ll Be Doing:
- Tracking project progress and order status
- Coordinating delivery schedules and logistics
- Maintaining project status reports and documentation
- Managing data entry and system updates
- Updating product catalogs, specification sheets, and project records
- Following up with manufacturers regarding production timelines and deliveries
- Communicating with clients regarding project updates and requirements
- Coordinating information between clients, manufacturers, representatives, and internal stakeholders
- Monitoring deadlines and ensuring project milestones are met
- Supporting Project Managers with administrative and operational responsibilities
- Reviewing information and documentation for accuracy before submission
- Escalating potential issues before they become larger problems
- Helping ensure projects remain organized, accurate, and on schedule
Required Qualifications & Skills:
- 1+ years of experience in project coordination, project management support, operations, administration, logistics, customer support, construction support, or similar functions
- Strong written and verbal English communication skills
- Excellent organizational abilities
- Comfortable working within software systems and databases
Preferred Qualifications & Skills:
- Experience supporting U.S.-based companies is a plus
- Experience in construction, architecture, engineering, procurement, logistics, manufacturing, or related industries is a plus but not required
