Reports To: Chief of Staff & Automation (partnering closely with Head of Operations)

Employment Type: Full-Time Independent Contractor

Location: Fully Remote (Based in Latin America, preferably Colombia and surrounding regions)

Working Hours: U.S. Eastern Business Hours Overlap (EST) Required

Target Monthly Compensation: $2,500 – $3,500 USD / month ($30,000 – $42,000 USD / year)

We operate a unique hybrid model: alongside our proprietary funds, we build white-label fund-of-funds products for leading independent multi-family offices and financial advisory firms across the United States. We combine deep manager-selection expertise with sophisticated portfolio construction to deliver differentiated financial outcomes.

Our firm is at a pivotal growth inflection point. Our Assets Under Management (AUM) are scaling rapidly, and we are actively launching new fund-of-funds products. We operate as a lean, elite team ("Silicon Valley meets Wall Street") where high-caliber professionals take on increasing responsibility and scale with the platform.

We are seeking a Senior Business Operations Specialist to serve as the operational backbone of the firm. This is a hybrid seat—part Business Operations Lead and part Controller.

Reporting to the Chief of Staff and partnering closely with the Head of Operations, you will manage people operations, maintain operational cadences, and coordinate cross-functional work. Crucially, you will carry an equal load on the finance and fund operations side: managing company finances, reviewing NAVs, supporting fund launches, and serving as the first line of contact for investor inquiries. Because roughly half of this role is financial, a strong accounting foundation is essential.

Responsibilities

  • NAV & amp; Fund Accounting
  • Produce the monthly NAV and drive the cycle to final review and sign-off: coordinate month-end with the fund administrator (FundViews) and administrator/transfer agent
  • (NAV Consulting), keep the close on schedule, and drive toward a tighter SLA after month-end. Final NAV review and sign-off remain with the Head of Ops.
  • Prepare and review monthly NAVs ahead of the Head of Ops's sign-off: reconcile positions and cash across the three-way Company calculations vs. FundViews shadow vs. NAVC official), and catch and resolve breaks before they reach leadership Chase and manage laggard manager NAVs, and help operationalize a materiality-threshold close policy so the cycle stops waiting on the slowest manager
  • Maintain the fund performance tracker as the clean warehouse of official NAV files (returns, positions, expenses)
  • Investor Operations
  • Process investor subscriptions, redemptions, and transfers cleanly and on time, from the FundOps/IR inbox through to the administrator
  • Own KYC/AML onboarding and keep the investor register accurate and current
  • Run capital calls, distributions, and fee calculations, and coordinate the related payments and wire approvals
  • Act as a company facing point of contact for investors: provide front-line investor support and interface, handle queries with speed, accuracy, and discretion, and chase vendors and managers directly when needed
  • Serve investors and partners by handling every transaction and request with speed, accuracy, and discretion.
  • Investor Reporting
  • Pull fund control-book data to produce quarterly fact sheets and investor

 performance reports

  • Support the quarterly fund-of-funds commentary process and help automate the reporting pulls behind it
  • Keep the shadow and official NAV records complete and well-organized as the system of record
  • Management Company Financial & amp; Controller
  • Own the management company's books: accounts payable and receivable, bookkeeping, and month-end close
  • Produce management-company financial reporting and timely managerial reporting (KPIs, management-fee tracking, expense reporting)
  • Bring recurring bookkeeping and reporting in-house and automate it where possible (e.g. via Ramp), reducing reliance on outside providers
  • Fund Formation & Launch
  • Support fund formation during launches: open accounts, register with the relevant authorities, and collect and review documentation
  • Establish the operational plumbing for new funds and feeders (onshore/offshore) so they launch on time without disrupting the existing fund complex
  • Flex to all-hands when a new fund launches
  • Provider & Controls Management
  • Manage the day-to-day relationship and hand-offs with fund administrators, the transfer agent, prime brokers, and banks
  • Maintain dual-control and wire-approval discipline across operating and fund accounts
  • Document the fund-ops playbook so nothing depends on one person's memory, and provide genuine redundancy for the Head of Ops across every execution element of the fund factory
  • You don't need to know every tool on day one, but you should be comfortable learning modern software quickly.
  • Fund administration & NAV: Fund Views, NAV Consulting, and internal NAV reconciliation apps
  • Prime brokers: Clear Street, IBKR
  • Fund performance tracker: the warehouse for official NAV files and the primary source of truth
  • Management company / accounting: Ramp (accounts payable, cards, and expense management) and bookkeeping tooling
  • SharePoint: shadow and official NAV storage
  • Google Workspace, Slack, Notion, Linear: communication, documentation, and tracking
  • Claude, Codex, and agentic AI tools: automating reporting pulls, reconciliation, and recurring close work
  • Operating Cadences: Run and improve the firm's core operating cadences (weekly kickoffs, project reviews, Friday closes, and QBRs).
  • Recruiting & Onboarding: Manage full-cycle recruiting logistics (sourcing coordination, interview scheduling, candidate communications). Own onboarding and offboarding workflows end-to-end.
  • Operations Administration: Manage vendor relationships, software subscriptions, and leadership calendars. Build and maintain internal documentation and playbooks.
  • IR Inbox Management: Triage, prioritize, and follow up on investor relations communications. Act as the first line of response for investor inquiries, escalating complex issues to the Head of Ops/IR.
  • Executive Logistics: Coordinate quarterly board materials, manage travel itineraries for leadership, and track action items across executive workstreams so nothing stalls.
  • Sales/Marketing Support: Assist with outbound communication sequences, refining messaging drafts before handing them off to sales leadership.

Requirements

  • Fund operations experience: 5+ years running hands-on fund operations at a fund administrator, hedge fund, private-markets manager, or fund-of-funds, covering the NAV cycle, investor transactions, and capital activity Fund-accounting foundation (required): fluent across NAV review, position and cash reconciliation, P&L, balance sheet, and cash flow; able to independently catch an error in a monthly NAV before sign-off

  • Judgment: sound discretion handling confidential investor and financial information
  • Management-company accounting / controller experience: hands-on with accounts payable and receivable, bookkeeping, and management-company financial reporting
  • Investor-facing experience: comfortable as a front-line, externally-facing point of contact for investors and partners
  • Availability: reachable during U.S. Eastern business hours (9–5 ET), which is when our investors expect availability
