We are a high-growth performance marketing and lead generation agency managing seven-figure monthly media budgets across Meta, Google, and programmatic channels. We operate across multiple insurance and financial services verticals and are scaling rapidly to support our next phase of growth.
We are seeking a Senior Account Operations Coordinator who brings seasoned operational instincts and a track record of owning complex, multi-client workstreams without hand-holding. This is a client-facing execution role—you are the connective tissue between our clients and our internal teams, making sure every request, reactivation, and deliverable gets to the right person and gets done.
At the senior level, we expect you to not only manage the follow-up loop but anticipate breakdowns before they happen, surface systemic issues to leadership, and bring structure to chaos. You will be trusted to handle communication on logistics and account status, coordinate across media buying, creative, and compliance teams, and serve as the operational backbone of the client portfolio.
Responsibilities
~1 min read- The Follow-Up Loop: Own the end-to-end loop across all active accounts — ensuring nothing sits unanswered for more than 24 hours
- Proactive Engagement: Reach out on account status, next steps, and reactivation of paused or inactive targets
- Operational Point of Contact: Serve as the primary contact for day-to-day logistics (execution and status, rather than high-level strategy)
- Professional Communication: Communicate clearly and professionally via Slack, email, and project management tools on behalf of the operations team
- Triage & Escalation: Identify when an issue requires escalation and route it to the appropriate team lead immediately
- Traffic Control: Act as the bridge between internal teams (media buying, creative, data, compliance)
- Contextual Routing: Route requests with clear context, deadlines, and ownership
- Persistence: Check in daily on pending items — flag anything idle for more than 48 hours and push for resolution
- Internal Standups: Attend internal meetings and provide accurate status updates across all open follow-up items
- Bottleneck Identification: Proactively identify operational friction and surface it to leadership before it escalates
- System Hygiene: Keep all accounts clean and current in ClickUp (or similar tools) — ensuring statuses are updated, stale items are flagged, and deadlines are visible
- Tracking: Maintain a real-time follow-up tracker across all verticals with clear ownership and next actions
- SOP Architecture: Build and refine lightweight SOPs for recurring coordination workflows
- Documentation: Log all communication, action items, and internal handoffs with full context
This role does not require:
- Running performance strategy sessions or making media buying recommendations
- Data analysis, dashboard creation, or reporting on campaign performance
- Owning relationships at a strategic level or negotiating deal terms
- Deep performance marketing execution
These functions sit with the Account Managers and Media Buyers. Your role is to ensure the right things are happening, in the right order, with the right people.
- Senior-Level Execution: 5–7 years of experience in account operations, project coordination, agency traffic management, or client services coordination
- Multi-Workstream Mastery: Ability to manage 15+ simultaneous workstreams across multiple clients or verticals
- Project Management Tools: Advanced proficiency in ClickUp (or equivalent like Asana/Monday.com)
- Communication Powerhouse: Exceptional written English — polished, professional, and concise; strong verbal communication for internal calls
- Proactive Mindset: You surface problems early and close loops without reminders
Requirements
~1 min read- Agency Pedigree: Experience at a digital marketing agency, lead generation company, or performance marketing environment
- Industry Context: Familiarity with performance marketing terminology (CPL, CPA, conversion rate) and experience in insurance or financial services
- Offshore Excellence: Experience working with US-based leadership teams in a remote offshore capacity
