Our client, operating in the tax and accounting space, is seeking a Virtual Assistant / Bookkeeper to take ownership of client communication, documentation, and workflow management within TaxDome.
This role is critical as the owner splits focus between an established accounting firm and a new plumbing/HVAC franchise. The ideal candidate will act as a central liaison, ensuring client requests, documentation, and internal processes move efficiently and without delays.
The primary function of this role is to manage end-to-end client workflows within TaxDome, ensuring timely communication, accurate documentation, and seamless coordination between clients and internal team members.
Responsibilities
~1 min read- →Proactively follow up with clients for missing documents and information via phone, email, and text
- →Serve as the main point of contact for client communication and updates
- →Coordinate with internal staff (bookkeepers, tax preparers) to gather required information
- →Maintain accurate, real-time records in TaxDome
- →Upload and organize client documents in ProConnect tax software
- →Assist with light bookkeeping tasks as needed (QuickBooks)
- →Document and maintain internal SOPs within TaxDome (tax prep, bookkeeping workflows, etc.)
- →Handle administrative tasks such as:
- →Sending completed tax returns to clients
- →Rescheduling meetings
- →Managing client status updates
Requirements
~1 min read- 2–5 years of experience in a Virtual Assistant, Bookkeeping, or Tax Support role
- Hands-on experience with TaxDome (required)
- Experience with ProConnect and QuickBooks
- Strong client communication skills (written and verbal)
- Highly organized with a process-driven mindset
- Ability to manage multiple client workflows simultaneously
- Comfortable working independently in a remote environment
- Experience supporting tax preparation or accounting firms
- Familiarity with U.S. tax workflows and documentation requirements
- Experience creating or improving SOPs and internal processes
- Detail-oriented with strong follow-through on client requests
- Full-time, remote position
- Schedule: Monday–Friday, 9:00 AM – 5:00 PM EST
