OperationsOperations Specialist

We are seeking a highly organized and proactive Clinical Operations Specialist to support the daily operations of a growing virtual healthcare organization focused on reproductive and sexual health. In this role, you will oversee clinical scheduling, provider coverage, and operational coordination across multiple states to ensure patients receive timely and reliable care. Working closely with clinical leadership and clinic managers, you will help maintain efficient workflows, resolve scheduling challenges, and strengthen the operational infrastructure behind virtual care delivery. You will manage recurring scheduling processes, payroll reviews, provider availability, and onboarding logistics while coordinating with external laboratory and healthcare technology vendors. As an early member of a developing clinical operations team, you will have the opportunity to shape processes, improve operational consistency, and contribute to scalable healthcare services. This fully remote opportunity is ideal for someone who thrives on ownership, attention to detail, cross-functional collaboration, and making healthcare operations run smoothly.

  • Own the clinical scheduling process on an eight-week cycle, coordinating schedule builds and ongoing updates to maintain reliable provider coverage across all operating states.
  • Manage scheduling changes, including provider call-outs, upcoming paid time off (PTO) requests, and coverage adjustments, ensuring continuity of clinical services.
  • Configure and maintain synchronized visit scheduling systems, including provider availability and appointment slots, while handling both routine scheduling requirements and ad hoc changes.
  • Review and approve clinical payroll records, including base hours, additional time, and applicable pay differentials, according to established recurring schedules.
  • Support day-to-day clinical operational escalations by following established procedures, coordinating with the Clinical Operations Senior Manager, and helping resolve issues efficiently.
  • Coordinate onboarding logistics for new clinical hires, ensuring required operational arrangements and system access are established in a timely manner.
  • Manage vendor configurations and operational setup for clinical team members across electronic health record (EHR) platforms, laboratory services, and related healthcare systems.
  • Help organize and maintain the Operations On-Call rotation schedule to ensure appropriate coverage and clear responsibilities.
  • Collaborate closely with clinic managers, clinical leadership, and cross-functional partners to communicate scheduling updates, anticipate coverage gaps, and resolve operational challenges.
  • Maintain accurate scheduling records, payroll information, provider availability, and operational documentation to support consistency and accountability.
  • Identify opportunities to streamline recurring processes, improve workflows, and strengthen operational procedures as the clinical operations function grows.
  • Contribute to the development and refinement of scalable processes that support expanding clinical services, additional state coverage, and evolving healthcare delivery needs.
