Specialist, Production Delivery Management
Quick Summary
assess feasibility with vendors, align stakeholders on the revised execution plan, and ensure timely implementation through the appropriate approval and system-update process.
About the Role
The Specialist, Production Delivery Management manages confirmed purchase orders from the Day-14 buy handover through to PO closure, keeping vendor commitments, WIP data and delivery dates reliable. The role maintains accurate order signals, identifies exceptions early and partners with Production Services and other relevant functions (such as GSP, GMP, Quality Operations, Materials Quality, Origin and Inbound Logistics) so delivery commitments remain visible, realistic and actionable. The role provides a data-centric view of supply and delivery risks, enabling Production Services and partner functions to prioritize and drive the right actions to protect delivery performance.
Role Purpose
Own disciplined PO change management, WIP data quality and delivery-risk coordination for one or more brands and categories within an assigned COO cluster. This role is office-based and focuses on order, system and milestone control rather than routine on-site validation of factory WIP, which sits with Production Services. Buy confirmation, capacity commitments and brand / regional trade-offs remain with GSP - Capacity, GSP - Orchestration and Regional Planners (RP).
Key Responsibilities
- Receive the Day-14 buy handover (vendor first confirmed CRD + PED snapshot); check completeness, return missing fields or original-confirmation disputes to GSP - Capacity, and log watch-outs with owners.
- Manage VF-initiated PO changes (push-out, acceleration, ship mode, DC / region shifts, rerouting): assess feasibility with vendors, align stakeholders on the revised execution plan, and ensure timely implementation through the appropriate approval and system-update process.
- Manage vendor-triggered WIP changes through the three decision paths (no date change; PED only; PED + CRD in Order Collaboration) with the GSP - Orchestration team in the weekly review. Act within agreed authority and seek RP approval beyond authority, copying GSP - Orchestration.
- Act on urgent cases (provisional trigger: CRD within 21 days) without waiting for the weekly review, within authority and approval rules.
- Review CRD changes, past-due actions, open Buyer Reviews and system exceptions; drive closure with vendors and planning partners.
- Maintain timely and accurate order, milestone and delivery data in designated planning platforms; monitor planned-WIP completeness and drive prompt corrections with vendors.
- Proactively identify WIP, output, material-readiness, backlog and capacity-drift risks through data analysis; flag them to Production Services for on-site validation and recovery, and track recovery progress and closure outcomes in PDM data.
- Translate risks into clear issue, impact, action, owner and timeline updates for stakeholders, sharing Production Services findings in the GSP - Orchestration-led weekly review.
- Support production status reviews, vendor scorecards and recurring performance reporting, including the Production Excellence (PE) exception report by COO cluster and brand, Infor Nexus week-on-week PO change report, WIP report and VF-initiated request status report.
- Follow shipments through to PO closure, including over / short-shipments, ship-mode changes from Origin Logistics, logistics-capacity delays, small-shipment surcharges and surcharge / discount acceptance in Seller Review.
- Consolidate and communicate vendor manual, packaging-instruction and regulatory labelling changes to vendors; report T1 leftovers on the agreed cadence.
- Partner with GMP, Quality Operations, Materials Quality, Origin and Inbound Logistics and Production Services to remove delivery blockers.
- Contribute to process simplification, SOP adherence, system adoption and data-quality improvement, including subcontractor factory-code clean-up.
Key Outcomes and Success Measures
- Change requests completed within SLA (proposed target: 95% or higher).
- Planned WIP completeness of 95% or higher; PO shortage / overdue at or below 2% (proposed).
- Reliable system data and clear ownership of open exceptions.
- Improved delivery predictability through data-driven risk identification and timely escalation that enables cross-functional recovery; shared OTP / OTIF of 96% or higher and risk-case closure within SLA of 95% or higher with Production Services (proposed).
Key Working Relationships
- Production Excellence leadership and peer teams (incl. Production Services)
- GSP - Integration, GSP - Capacity and GSP - Orchestration; Regional Planners (RP)

Experienced in leveraging enterprise planning, ERP, and order collaboration systems to generate insights, identify risks, and support data-driven decision-making.
