Responsible for planning, organizing, and executing a range of events to enhance the firm's brand visibility, engage clients, and support business development initiatives. The role requires a detail-oriented individual who can manage multiple projects simultaneously while ensuring that all events align with the firm’s objectives and values. The events coordinator will collaborate with internal teams and external vendors to deliver high-quality events that reinforce CDH’s reputation as a leading law firm.
Manage all office events (Client social events; Client seminars; office events, seminars, conferences, cocktail functions, and internal functions, including logistics, invitations, mailing lists, handout materials, site management, speakers, visual presentations, and follow-up efforts.
Co-ordinate various marketing tasks like campaigns, articles, podcasts, internal communication, generate social media content and Briefing design agency on the above-mentioned marketing tasks.
Responsibilities
~3 min readYour duties, which may be varied from time to time, will include the below amongst other responsibilities that arise during the day-to-day business of CDH Kenya:
- →Conduct research regarding existing and prospective clients, competitor activity and market trends/opportunities
- →Analysing business operations and strategies to identify new opportunities
- →Provide support to the pitch team in preparing presentations, proposals, and pitch materials in connection with business development opportunities
- →Research for each practice and sector, as well as specific geographical and industry sectors, in connection with various business development opportunities
- →Providing advice and recommendations on event marketing best practices to lawyers and Director of BD/Marketing to ensure a high ROI per event (BD) and compliance with our brand (marketing)
- →Co-ordinating a high number of in-person events, ranging from, small meetings, seminars, conferences, golf days, cocktail functions, and internal functions
- →Manage all office event (Client social events; Client seminars; office events, seminars, conferences, cocktail functions, and internal functions, including logistics, invitations, mailing lists, handout materials, site management, speakers, visual presentations, and follow-up efforts.
- →Work with suppliers, agencies, and venues to ensure that the event is delivered on time, on brand and on plan
- →Ensure that all stakeholders are kept up to date with project progress and ensure constant review of event objectives
- →Coordinate delivery of all items needed for registration, including name tags and handout materials. Manage external creative agency in the development of print and/or electronic communications for distribution to ensure materials meet deadlines and brand guidelines
- →Manage and maintain database of RSVP status
- →Work with CRM ensures that client contact information and invitee lists for events are stored responsibly
- →Coordinate services of caterers, in-house teams, and responsible lawyers in preparation for events
- →Supervising all aspects of events on-site (including setup, catering, wait staff, A/V, presentations, registration desk and tear-down)
- →Set up formal post event analysis including a review of final attendance, budgets and client and fee earner feedback
- →Work with the procurement team and partners to ensure that all vendors/suppliers and contracts are managed appropriately, and the Firm always receives the best possible level of service
- →Update and publish any relevant internal event calendars or announcements in a timely manner.
- →Act as an ambassador of the Firm always
- →Managing marketing stock and branded items
- →Managing Kenya client lists client database, including general updates, unsubscribes and bounce backs - CRM
- →Planning & executing events, client seminars, meet & greets, webinars, client entertainment, internal staff events in and out of the office
- →Co-ordinate various marketing tasks like campaigns, articles, podcasts, internal communication, generate social media content and Briefing design agency on the above-mentioned marketing tasks
- →Put together an RFP or complete a tender submission
- →Look at our current list of clients and identify leads or investigate possible new leads through website enquiries, events, client engagement opportunities
- →Assisting with such other duties as may be determined by CDH Kenya.
