  • Prepare and submit invoices, payment applications, and required supporting documentation through customer billing portals within established deadlines.
  • Track portal submissions through acceptance and approval, address rejected or incomplete submissions, and follow up on items delaying payment.
  • Confirm customer billing requirements, submission schedules, purchase order references, and billing contacts to help prevent invoice rejections and payment delays.
  • Maintain accurate records of outstanding invoices, dispute status, portal submissions, payment commitments, and next steps.
  • Follow up on missed payment commitments and escalate unresolved collection issues to the Fire Install Manager and appropriate internal teams.

  • Serve as the local Install department’s Dispute Champion by coordinating the investigation, resolution, and escalation of accounts receivable disputes.
  • Coordinate delivery of close-out documentation and other customer-required records that support final payment and release of outstanding balances.
  • Attend weekly Work in Progress (WIP) meetings and provide updates on collection priorities, invoice disputes, and billing issues affecting cash collection.
  • Provide the Fire Install Manager with regular visibility into outstanding balances, expected payments, unresolved disputes, and actions needed to move collections forward.
  • Perform other duties as assigned to support local cash collection, billing coordination, and department operations.
