THE ROLE

The Khan Academy Districts Proposal Manager is responsible for leading, planning, scheduling, and overseeing the timely development and delivery of high-quality responses to K-12 school, district, and state-level partnerships opportunities from pre-RFP to post-submission activities. This role will also oversee the process for responding to partner requests for vendor set up and compliance documentation, including data privacy agreements, vendor questionnaires and accessibility documentation. The Proposal Manager will collaborate across sales, marketing, legal, finance, operations, product, and engineering to support our sales processes, drive revenue, win new customers, and grow existing customer accounts. 

We are looking for someone who is proactive, organized, and resourceful, with strong follow-through and the ability to manage complex projects involving multiple stakeholders and competing deadlines. The ideal candidate values accountability, thrives in a collaborative and transparent environment, and brings exceptional writing, proofreading, and editing skills. Strong research abilities, excellent interpersonal skills, and experience managing proposals or other complex cross-functional projects are essential for success in this role. The ability to handle sensitive and confidential information with discretion is required.

The Proposal Manager is a subject matter expert for Khan Academy, our Khan Academy Districts partnerships, and Khanmigo, our AI-based student tutor and teaching assistant. You are excited to develop deep knowledge of Khan Academy's products and leverage that expertise to create compelling responses to K–12 procurement and partnership opportunities. This role will report directly to the Director of School Partnerships.

Responsibilities:

  • Running and continuously improving our procurement response and grant application processes for K-12 district and state-level RFI, RFQ, and RFPs
    • Monitor K-12 state and district-level procurements and grant opportunities on various databases, procurement platforms, and those presented to us by our consultants
    • Research prospect districts’ leadership, mission, learning plan, and goals to tailor RFP response to their specific needs
    • Review procurement requirements to assess alignment with our product and our overall terms of service 
    • Recommend appropriate procurement opportunities to the team
    • Prepare and lead efficient Proposal Kickoff meetings and daily/weekly status calls, ensuring activities and deliverables adhere to the Proposal Development Plan.
    • Track procurement opportunities in Salesforce
    • Work with relevant cross-functional stakeholders to build and manage existing content library
    • Ensure the high-quality content and appearance of final proposal deliverables by performing rigorous quality assurance checks on draft and final documents.
    • Ensure the timely delivery of complete and accurate submissions
  • Manage the process of completing, submitting, and tracking Data Privacy Agreements (DPAs), vendor questionnaires and other required submissions for prospective and current districts, as well as schools and districts using the free version of Khan Academy
    • Work closely with Khan Academy sales, legal, security, and accessibility teams to process vendor document requests from schools, districts, and state educational departments
  • Conduct proposal retrospectives, document lessons learned, and implement process improvements to increase efficiency and effectiveness.
  • 4+ years managing proposals, grants, procurement responses, or other complex cross-functional projects, ideally in the K-12 education or EdTech sector.
  • Ability to use standard English writing styles to write proposal sections; this includes information research and synthesis from multiple sources (subject matter experts, previous proposals) into a cohesive, easy-to-read, and persuasive final product.
  • High proficiency in Google Suite, MS Office Suite (Outlook, Word, Excel, PowerPoint, Project), Adobe Acrobat, and Salesforce.
  • Experience using Grammarly or other AI related tools for streamlining responses, editing, and other related tasks.
  • Motivated by the Khan Academy mission “to provide a free world-class education for anyone, anywhere."
  • Proven cross-cultural competency skills demonstrating self-awareness, awareness of other, and the ability to adopt inclusive perspectives, attitudes, and behaviors to drive inclusion and belonging throughout the organization.
