At Soho House the Private Events and Sales Manager is responsible for the proactive drive of sales (event, rooms sales), curation & organization (events planning) and management of events operations (events service). An incredibly exciting and varied challenge for someone with exceptional events and sales experience. Suiting an independent worker who is able to proactively work towards targets, but also as part of the private hires team whiles closely liaising with the operational team at the House.
Specifically, the position will require operational direction on: Overseeing and driving of an inclusive environment that ensures every member/guest and team member both feel and embody the Soho House Pillars and Values
- A strong focus on delivering high quality, highly organized, cost effective & profitable events in our properties
- Implementing, overseeing and understanding the commercial viability of the business
- Effective hands-on management with General Manager to support financial targets and member/guest experience
- Meet or exceed goals for new and returning group sales contracts.
- Identify market needs and trends in Catering, Social, Conference and Corporate businesses – businesses that need promotional support to generate additional sales.
- Develop new business opportunities via multiple channels.
- Work closely with the House Manager and Membership Manager, establish and maintain good relationship with existing and new clients across different industry sectors and attend booked events to reinforce client service relationships.
- Projection of room sales budget along with the General Manager.
- Suggest and create promotional activity in the form of offers, value added incentives, bespoke events, direct meetings and mailers etc. to drive sales.
- Be a primary point of contact for external business clients
- Organize meetings with potential clients to explain the spaces and services available and to create bespoke event opportunities.
- Follow up on event bookings, group bedroom bookings ensuring pre-event information flow and ensure billing and invoicing processes are handled correctly.
- Build and maintain viable commercial databases across all relevant industries for e-mail and postal promotions of group collateral, offers, events and incentives.
- Should know and attend all major Mumbai based events - award shows, cultural events, business expos etc. and liaise with organizers to secure ancillary business.
- Identify what bespoke collateral (both physical and digital) the business needs, as it evolves, to effectively sell events, spaces and restaurant bookings to corporate clients and the public.
- Monitor communications activity of key competitor clubs and restaurants, informing team members of compelling creative concepts or innovative ideas we can appropriate.
- Liaise with Event Companies and Media houses for corporate tie ups for room sales and organising creative events.
- Maintain good relationship with sponsors, vendors and suppliers.
- Take part in Membership/Communications and events brainstorms to contribute ideas.
- Ensure maximum revenue is achieved from all sales opportunities.
- Coordinate and liaise with different departments such as F&B Service & Kitchen, Engineering and AV & IT to ensure all events and functions are running smooth.
Perform other duties as assigned by Manager.
This position will be responsible for managing and executing quality events, including client and partner liaison.
- Enter all leads into Tripleseat and create a booking or “soft hold”. If date is unavailable, provide alternative dates or venue for member
- Private events duties, including but not limited to booking events, creating contracts, BEO’s, sending proposals, catering and other as required.
- Maintain, update and track event changes in Tripleseat
- Tasked with scheduling & payroll duties as required
- Perform sales site visits with clients, including pre-event walk throughs.
- Make introduction to Head of F&B depending on site and overall scope of the event should it exceed the capacity of a single space and require a buyout.
- Update internal meetings, including catering and setup in calendar in Event Booking System.
- Generate weekly report of upcoming private events and their statuses to send out to Operations teams and Head of F&B
- Work closely with third party vendors and schedule as needed and obtain approval in writing from Head of F&B before confirming any order that creates a financial obligation for the company
- Organize, store and update event contracts, receipts and any other pertinent event documentation
- Email receipts to clients after events and address any questions and/or concerns promptly.
- Maintain positive attentiveness to service, responding positively to guests needs and ensuring timely resolution to issues
- To ensure client confidentiality is maintained always.
- Manage schedule to be at the appropriate property as per schedule.
- Proficient in Tripleseat software
- Working knowledge of Outlook, Excel, Word, InDesign, Adobe software.
- Must have flexible schedule including days shifts, evening shift, holidays, and weekends.
- Ability to multitask and work in a fast-paced environment.
- Ability to understand and follow written and verbal instructions.
- A sophisticated communicator with high standards of performance together with excellent communication, problem solving and listening skills
- Ability to multitask and work in a fast-paced environment.
- Proven operational F&B, sales and events experience and management skills
- Must be flexible to work according to the events requirements including evenings and weekends
- Ability to multitask and work towards targets in a fast-paced environment, whilst being resilient and capable of managing stressful situations
- Highly organized with excellent attention to detail
- A clear communicator both written and verbal in English
