Position: Construction Job Costing & Operations Manager

Type: Full-Time Remote Contractor (40 hours/week)

Schedule: US Business Hours Alignment (EST / CST)

Target Location: Remote (Latin America)

We are seeking a high-capacity, highly competent, and process-driven Construction Job Costing & Operations Manager based in Latin America to take complete ownership of our job costing, purchasing, QuickBooks accounting, and operational execution.

This is not an entry-level administrative job or a passive data-entry position. You will operate as an autonomous functional lead—managing the financial and administrative pipeline for our current active builds and building scalable processes to support our upcoming expansion. Working as a peer and strategic partner to our on-site Project Manager, you will drive the operational engine: gathering subcontractor quotes, issuing POs, running 3-way invoice reconciliations, managing material logistics, and interfacing directly with county personnel and trade vendors.

We are specifically seeking a candidate with a High C / Moderate D (DISC profile)—someone who is naturally analytical, detail-obsessed, and expert in QuickBooks and Excel, paired with the internal drive and assertiveness of a Project Manager to hold third parties accountable and keep builds moving as we scale.

(Note: Candidates must bring strong, pre-existing job costing, accounting, and finance mastery. While we will train on our specific project management, permit-pulling, and construction workflows, foundational finance competency is a strict prerequisite).

  • Job Cost Architecture: Own and manage job-cost accounting in QuickBooks across all active and onboarding custom builds, ensuring every line item is accurately mapped to its specific project, scope, and cost code.
  • 3-Way Reconciliation & Bill Pay: Execute strict 3-way matching on incoming vendor invoices, subcontractor draw requests, and material bills against issued Purchase Orders and original quotes before clearing payments.
  • Excel Financial Oversight: Develop and maintain advanced Excel models to track budget vs. actual variances, project cash flow requirements, and line-item expenditures.
  • Scalable Systems: Build clean, repeatable financial workflows to seamlessly onboard new custom projects as the company scales.
  • RFQ Strategy & Execution: Run formulaic bid packages and Requests for Quotes (RFQs) to trade subcontractors and suppliers; analyze, organize, and evaluate pricing across job scopes.
  • PO Authorizations: Issue precise, scope-specific Purchase Orders against approved subcontractor quotes prior to work commencing on site.
  • Procurement Logistics: Manage material procurement, track supplier fulfillment schedules, and resolve supply chain bottlenecks to protect project timelines.
