Executive Project Manager
About the Role
We are looking for a highly organized, proactive, assertive, and hands-on Executive Project
Manager to drive the day-to-day execution of projects across our fully remote organization.
Working closely with senior project leadership, you will translate established priorities, key
milestones, and project requirements into organized execution, building detailed timelines,
assigning and tracking work, managing dependencies, monitoring team bandwidth, and
ensuring deliverables move from request through completion.
You will work cross-functionally across Creative, Marketing, E-commerce, Operations, and
Product, with a particularly high volume of work flowing through the Creative team.
This is not a passive coordination or administrative role. We are looking for someone with strong
judgment, ownership, and communication skills who can independently keep projects moving
without requiring constant supervision.
Key Responsibilities
Project Execution & Timeline Management
A significant portion of this role will involve managing the operational flow of requests through
the Creative team and other departments.
This may include:
appropriate owners based on established roles and bandwidth, create the necessary tasks and
deadlines, track feedback and revisions, and follow through until final delivery.
ClickUp & Slack Ownership
across Slack by monitoring relevant project and cross-functional channels, following up on
unresolved requests, and ensuring important action items, decisions, and deliverables
discussed in Slack are captured in ClickUp when appropriate.
The goal is for Slack and ClickUp to work together as our operating system: Slack for
communication and ClickUp for clear ownership, deadlines, tracking, and accountability.
Task Assignment & Team Bandwidth
Develop a strong understanding of team roles, responsibilities, strengths, and current workload
— particularly within the Creative team — so operational work can be assigned intelligently.
You will:
This role requires someone who is comfortable speaking up, asking questions, pushing for
answers, and holding people accountable to established deadlines.
You should proactively communicate deadlines, request updates, follow up on overdue
deliverables, identify missing information, and keep projects moving when stakeholders are slow
to respond.
You must be comfortable communicating with U.S.-based team members and senior
stakeholders and saying things like:
between independently driving execution and escalating decisions that require strategic or
leadership input.
What Success Looks Like
Senior project leadership should be able to provide the priorities, strategic direction, key
milestones, and business requirements and trust you to manage the detailed operational
execution underneath them.
At any given time, you should be able to quickly answer:
● What is currently in progress?
● Who owns each deliverable?
● What is due next?
● What are we waiting on?
● What is blocked or at risk?
● Where are there bandwidth constraints?
● Who needs to be followed up with?
● What requires escalation?
Your role is to create structure, visibility, follow-through, and accountability across day-to-day
execution, allowing senior project leadership to remain focused on company-wide planning,
major launches, high-priority campaigns, strategic cross-functional initiatives, executive projects,
and higher-impact business priorities.
What We're Looking For
Experience with E-commerce or consumer brands, Amazon workflows, product launches,
packaging and production workflows, creative operations, or high-volume creative request
management.
The Mindset We Need
We are looking for someone who thinks:
“I understand the objective, priorities, and deadlines. I’ll organize the execution, assign the work,
track it, follow up, and make sure it gets done.”
The right person will bring structure, consistency, communication, and accountability to the
operational side of project management while knowing when something can be handled
independently and when a decision needs to be escalated.
Organize it. Assign it. Track it. Follow up. Close the loop.

Key Responsibilities
Project Execution & Timeline Management
- Turn established priorities, milestones, and key dates into detailed project timelines, tasks, owners, deadlines, and dependencies.
- Manage projects and deliverables from initial request through execution, feedback, revisions, approvals, and final delivery.
- Maintain visibility across multiple simultaneous projects and proactively identify delays, missing information, dependencies, or blockers.
- Follow up consistently on outstanding deliverables and escalate risks before they impact larger timelines.
- Ensure smaller and recurring operational requests continue moving without requiring senior project leadership to manage every individual step.
- Coordinate the operational execution of projects across Creative, Marketing, E-commerce, Operations, and Product, ensuring teams understand what they own, when it is due, and what other deliverables depend on their work.
- This includes managing handoffs and dependencies between departments — for example, when Product information is required before Creative can begin, Creative assets are needed before E-commerce can implement, or Operations requires final assets or information to execute.
- You will proactively follow up with stakeholders, coordinate outstanding inputs and approvals, and flag conflicting priorities or blockers that require senior-level input.
A significant portion of this role will involve managing the operational flow of requests through
the Creative team and other departments.
This may include:
- Amazon and marketplace briefs
- Creative and design requests
- Packaging updates and mechanical files
- Asset revisions and approvals
- Marketing and E-commerce assets
- Product launch deliverables
- Website updates

ClickUp & Slack Ownership

- This includes creating and maintaining tasks, owners, due dates, dependencies, statuses, timelines, and deliverables; tracking overdue work; and ensuring project information remains organized and current.

- Recognize capacity constraints and conflicting deadlines early.
- Maintain visibility into who is working on what and when deliverables are expected.
- Flag situations that require reprioritization or senior-level decisions.
- We expect you to use judgment rather than simply assigning work to whoever appears available.
