Our client is seeking a highly organized and proactive Operations Coordinator to support day-to-day operations across a fast-paced real estate renovation environment.
This is a high-volume, high-context, and high-trust role where you will be responsible for coordinating multiple moving parts simultaneously—from tenant maintenance requests to vendor management and crew dispatch. You will act as a key operational hub, allowing leadership to stay focused on strategy while ensuring execution runs smoothly.
The primary function of this role is to coordinate maintenance operations, vendor workflows, and internal/external teams, ensuring efficient execution across multiple active projects.
Responsibilities

Serve as the main point of contact for property managers and tenants

Intake and triage maintenance requests (emergency vs. routine)

Schedule service windows and coordinate property access

Manage follow-ups and ensure issue resolution

Place daily orders for paint and construction materials

Prepare detailed material lists for subcontractors

Track receipts and maintain accurate records for accounting

Source and manage multiple vendors for specialized repairs (e.g., HVAC, electrical)

Send scopes of work and follow up consistently for quotes

Coordinate site visits and provide recommendations to leadership

Dispatch and coordinate external crews on a daily basis

Handle onboarding (documentation, payment setup, communication channels)

Track time and manage ongoing contractor relationships

Address performance issues and assist with offboarding when necessary

Plan daily routes and schedules for internal maintenance teams

Provide real-time updates and adjust schedules as needed

Support onboarding of new team members into workflows

Coordinate communication between property managers and operations

Handle escalations and ensure timely resolution of issues

Manage logistics such as key pickups and access coordination
Requirements

2–5 years of experience in operations, coordination, or a similar role

Experience in real estate, construction, or property management environments

Familiarity with maintenance workflows and vendor coordination

Experience working with subcontractors and field teams

Ability to manage logistics across multiple projects or properties

Strong organizational and multitasking abilities in a fast-paced environment
Experience managing multiple workflows simultaneously
Proactive, detail-oriented, and solution-focused mindset
Comfortable handling high-volume communication and coordination
Experience with CRM/project management tools (Monday.com preferred)
Reliable remote work setup and internet connection
