A growing HVAC company is seeking a full-time remote assistant to manage office operations, including dispatch, calls, invoicing, and basic admin, while also driving business development through outreach. The entry-level role emphasizes strong communication skills, workflow streamlining, and CRM/process support, with direct training provided to work standard U.S. business hours.
Role Objective
The client is seeking a full-time remote assistant to manage office operations and support sales, including call handling, dispatch, invoicing, and outbound prospecting. The role is entry-level, focused on communication skills, and will be trained to work standard U.S. business hours.
Duties and Responsibilities include, but are not limited to:
1. Perform accurate data entry, including forms and scheduling appointments
2. Answer calls, support dispatch, and serve as the primary remote office manager for day-to-day operations.
3. Follow up on invoices/collections during slower periods and manage basic admin support.
4. Make outbound cold calls and conduct outreach to bring in more business (appointment setting/lead follow-up).
3. Ad hoc tasks
Qualifications:
• At least 1-year proven experience as a Sales Development Representative in a B2C or B2B capacity
• Excellent English communication skills, both written and verbal (at least B2 level)
• Excellent phone, email, and instant messaging communication skills
• Solid organizational and time management skills
• Tech savvy & familiar with current technologies, like desktop sharing, cloud services, CRM, and VoIP
• Experience with word-processing software and spreadsheets (e.g., MS Office)
• Knowledge of online calendars and scheduling (e.g., Google Calendar)
• Proactive & confident with keen attention to details
• Able to work on a graveyard shift
Tools & Systems:
• Jobber (dispatch + CRM functions)
•GoHighLevel (call tracking/lead tracking; process streamlining)
• On-call / call-related tool noted by client (used for basic data input, then copied into Jobber when approved)
Technical Requirements:
• USB Headset with Noise Cancellation feature
• Working Webcam
• Computer with at least 1.8 GHz processor and at least 4GB RAM
• Main Internet Service Speed: at least 25 Mbps cable connection
• Backup Internet Service Speed: at least 10 Mbps
