• Coordinate intake meetings, phone screens, and interviews, including scheduling, calendar management, confirmations, reminders, and rescheduling.

• Respond to routine candidate and hiring-team inquiries, provide timely updates, and route complex questions or accommodation requests to the appropriate partner.

• Support high-volume and entry-level recruiting through approved phone screens, resume reviews, and video interview reviews using recruiter-defined criteria; refer candidate advancement questions to the recruiter.

• Complete approved job postings, unpostings, requisition updates, and routine Workday cases while maintaining accurate candidate records, documentation, and trackers.

• Support hiring events and recruiting campaigns through registration management, attendee communications, event calendars, supplies, shipping, logistics, and outcome tracking.

• Coordinate candidate travel and reimbursement activities, track routine invoices, maintain supplies and inventory, and provide assigned administrative support for agency candidates.

• Monitor open tasks, follow up on missing information, and escalate scheduling barriers, system issues, or other concerns that may delay the hiring process.

• Provide workflow coverage and clear handoffs during team absences or vacancies within approved responsibilities and escalation processes.

• Assist with audits, data cleanup, job aids, cross-training, and special projects within assigned access and training; identify opportunities to improve recruiting workflows.

This role requires attention to detail, clear and respectful communication, timely follow-through, and coordination of competing priorities. The coordinator follows standardized processes, maintains confidentiality, and documents work in approved systems. Recruiting strategy, selection decisions, and offer negotiations remain with the recruiter; vendor contracts and financial controls remain with Business Operations. Assigned activities may vary by recruiting team, workload, training, and system access.
