About the Role
We are building a high-performance offshore operations engine to support a rapidly growing industrial distribution platform. Today, our offshore team supports finance, purchasing, data, and administrative functions. By year-end, this team will scale into a 10–15 person operational pod.
We are looking for an Offshore Operations Director — effectively a Mini-COO for our offshore division.
This role is not administrative. It is operational leadership.
You will own execution across multiple business functions, build systems and accountability, and create the infrastructure required to scale efficiently. Your mission is simple:
Build an offshore machine that allows our U.S. leadership team to focus on growth, customers, and acquisitions.
You will report directly to executive leadership and be expected to operate with speed, precision, and ownership.
Core Responsibilities
1. Team Leadership & Accountability
- Lead, manage, and develop a growing offshore operations team across finance, purchasing, customer support, and data functions.
- Recruit, hire, onboard, and train new team members as the offshore pod scales.
- Establish clear performance standards, KPIs, and accountability systems.
- Conduct regular performance reviews and coaching.
- Build a culture of speed, accuracy, ownership, and continuous improvement.
2. Operational Execution
Own and improve core back-office workflows, including:
- Accounts Payable (AP)
- Accounts Receivable (AR)
- Vendor communications
- Order entry support
- Customer data management
- Product data maintenance
- Purchasing support
- Inventory maintenance
- ERP support functions
Ensure operational handoffs between departments are seamless and error-free.
3. Process Development (SOP Ownership)
- Build and document Standard Operating Procedures (SOPs) for all core workflows.
- Identify bottlenecks, redundancies, and inefficiencies.
- Create scalable systems that support growth without operational breakdown.
- Standardize workflows across multiple business units.
4. ERP & Data Integrity
- Own data quality and operational accuracy inside Epicor Prophet 21.
- Maintain clean product data, customer data, vendor cross-references, and purchasing records.
- Improve system discipline and user compliance.
- Partner with U.S. leadership to improve ERP workflows and reporting.
5. KPI Management & Reporting
Track and improve operational metrics such as:
- Order accuracy
- Quote turnaround time
- AP processing times
- AR collection cycles
- Vendor response times
- Ticket resolution times
- Inventory data accuracy
- Customer setup turnaround
Deliver regular reporting to executive leadership.
What Success Looks Like
Within the first 90 days:
- Gain control of all offshore workflows
- Document critical SOPs
- Improve task turnaround speed
- Reduce operational errors
- Establish clear KPI reporting
- Strengthen team accountability
Within 12 months:
- Successfully scale the offshore pod to 10–15 team members
- Build a self-managing offshore operation
- Improve operational speed and quality across all functions
- Reduce friction for U.S.-based leadership and field teams
Qualifications
Required
- 5+ years leading operations, shared services, or back-office teams
- Experience managing multi-functional teams (finance, operations, support, data)
- Strong systems/process mindset
- Experience scaling teams in fast-growth environments
- Advanced ERP experience (distribution or manufacturing preferred)
- Strong analytical and reporting skills
- Excellent written and spoken English
Preferred
- Experience with Epicor Prophet 21
- Industrial distribution experience
- Purchasing or supply chain experience
- Shared services or BPO leadership experience
- Multi-company operational support experience
