About the Role

~1 min read
Our client is a modern tax and accounting firm based in Seattle, Washington. They help small business owners, entrepreneurs, and creatives navigate complex taxes and financial operations with clarity, accuracy, and confidence.
As a growing practice where numerical precision and high-touch client service are paramount, our client is seeking a proactive, detail-oriented Client Engagement & Sales Manager to independently own and scale their client engagement and sales operations.
This is an individual contributor role focused on functional ownership rather than managing employees. Working directly with the founder, you will initially take command of existing client engagements—managing annual renewals, proposals, billing, and onboarding workflows. Over 3 to 6 months, you will progressively assume greater ownership of new inbound inquiries, pipeline optimization, and sales conversion.

Responsibilities

~3 min read
1. Existing Client Engagements & Annual Renewals
  • →Independently manage the end-to-end annual engagement renewal cycle for existing clients.
  • →Draft, audit, and issue proposals and engagement contracts using approved service scopes and tiered pricing models.
  • →Proactively track open proposals and run persistent follow-up sequences until agreements are executed.
  • →Maintain meticulous client records, service scopes, pricing structures, billing frequencies, and renewal dates.
  • →Review all pricing calculations, descriptions, and contract parameters with rigorous accuracy prior to dispatch.
2. Sales Pipeline & Prospect Management
  • →Build, organize, and optimize the end-to-end sales pipeline within HubSpot and Ignition, moving prospects smoothly from inquiry to signed agreement.
  • →Qualify incoming leads, coordinate discovery sessions, and draft tailored proposals.
  • →Re-engage stalled opportunities and run proactive follow-ups to maximize conversion rates.
  • →Build dashboards and reporting metrics to monitor deal flow, pipeline velocity, and conversion benchmarks.
  • →Partner with the founder to clarify technical tax questions, pricing nuances, and custom service scopes.
  • →Incrementally lead discovery conversations and prospect outreach as your service knowledge deepens.
3. Invoicing & Payment Coordination
  • →Prepare, verify, and dispatch accurate, timely invoices across all active accounts.
  • →Audit billing schedules, fee calculations, payment methods, and terms to ensure error-free billing.
  • →Coordinate payment processing setup for new client accounts and renewing engagements.
  • →Monitor accounts receivable, track overdue invoices, and execute professional payment collection follow-ups.
4. Client Communications & Onboarding
  • →Act as a primary operational contact for routine client engagement, contract, and billing queries.
  • →Draft warm, polished, and professional emails tailored to US-based business owners with minimal revision required.
  • →Facilitate a seamless onboarding journey: gather required intake documents, coordinate platform setup, and manage internal operational handoffs.
5. Systems & Process Optimization
  • →Master our client's core service offerings (tax preparation, bookkeeping, fractional advisory) and critical US tax calendar deadlines.
  • →Maintain clean data integrity across HubSpot, Ignition, Google Workspace, and Slack.
  • →Leverage modern AI tools to streamline drafting, automate administrative friction, and elevate operational speed, while maintaining strict quality control over every output.
  • →5+ years of relevant experience in client engagement, account management, sales operations, or client success within a professional service environment.
  • →Proven track record independently managing sales pipelines, renewal cycles, and client retention workflows rather than merely providing task-based administrative support.
  • →Exceptional written and verbal English communication, specifically experienced in high-touch, consultative dialogue with US-based business owners and executives.
  • →Flawless numerical accuracy and attention to detail, especially when handling multi-variable pricing, invoices, and legal contracts.
  • →Strong CRM proficiency, with hands-on experience structuring deal stages, tasks, and reports in modern platforms (e.g., HubSpot, Ignition).
  • →High autonomy and resourcefulness: A natural problem-solver who moves projects forward with minimal supervision and knows when to escalate technical issues.
  • →Full-time commitment: Ability to dedicate 40 hours per week with dedicated, reliable overlap during Pacific Time (Seattle) business hours.
