As the foundation continues to grow, they're looking for a highly organized Project & Operations Coordinator to help leadership stay focused by bringing structure, accountability, and visibility to day-to-day operations.
This role is ideal for someone who enjoys creating order, keeping projects moving, and ensuring that important commitments never fall through the cracks.
The Project & Operations Coordinator will serve as the organizational backbone of the foundation, partnering closely with leadership to coordinate projects, maintain operational visibility, and keep priorities moving forward.
Working primarily within Notion, you'll organize projects, track action items, monitor deadlines, document meetings, and proactively follow up with stakeholders to ensure work is completed on time.
Rather than owning programs directly, you'll make sure every initiative has structure, accountability, and momentum.
Success in this role comes from being proactive, detail-oriented, highly organized, and comfortable working independently in a fast-paced environment.
Responsibilities
~1 min read- Maintain and organize projects, tasks, timelines, and priorities within Notion.
- Monitor project progress and proactively follow up on outstanding action items.
- Keep leadership informed of upcoming deadlines, risks, and operational bottlenecks.
- Coordinate internal initiatives across multiple concurrent projects.
- Ensure tasks remain visible, assigned, and progressing according to schedule.
- Attend meetings, capture detailed notes, and convert discussions into actionable next steps.
- Prepare agendas, maintain documentation, and organize meeting follow-ups.
- Track commitments made by leadership and ensure timely execution.
- Assist leadership with day-to-day operational priorities and administrative coordination.
- Improve and maintain organized operational systems and documentation.
- Build repeatable workflows that improve efficiency as the foundation grows.
- Maintain accurate records and project documentation.
- Identify opportunities to improve internal coordination and communication.
- Communicate regularly with internal stakeholders to keep projects aligned.
- Coordinate schedules, meetings, and project deliverables.
- Ensure information flows effectively across the organization.
- Support the coordination of foundation initiatives, campaigns, and operational activities.
- 2+ years of experience in Project Coordination, Operations, Executive Assistance, Account Coordination, Project Administration, or similar roles.
- Strong project tracking and organizational skills.
- Experience managing multiple concurrent priorities.
- Proficiency with Notion or comparable project management platforms (Asana, ClickUp, Monday.com, Trello, etc.).
- Excellent written and verbal English communication.
- Strong proficiency with Google Workspace.
- Comfortable creating documentation, meeting notes, and operational processes.

We recommend targeting:
- South Africa: USD $1,500-$1,800/month
- Latin America: USD $1,800-$2,000/month
