Job Responsibilities:
- Email Management: Monitor and manage the operations email inbox, responding to customer claims and inquiries promptly and professionally. Filter and delete spam emails to maintain inbox organization and efficiency.
- Compliance Checks: Conduct regular seatbelt compliance checks for drivers, ensuring adherence to safety protocols and regulations. Monitor driver compliance with company policies and procedures related to vehicle maintenance and safety.
- Data Reconciliation: Use company software to check for arrival and departure time discrepancies, reconciling any discrepancies and updating records accordingly. Reconcile Bill of Lading (BOL) documents with actual job completion records, ensuring accuracy and completeness.
- Candidate Screening: Assist in screening job candidates by reviewing resumes, conducting initial phone interviews, and scheduling interviews with hiring managers. Maintain candidate databases and ensure accurate and up-to-date records.
- Scheduling and Coordination: Schedule marketing visits and appointments for the operations team, coordinating with clients and external partners as needed. Assist with scheduling and coordination of operational activities, including job assignments, equipment rentals, and vehicle maintenance.
- Client Follow-Up: Follow up with clients after jobs are completed to ensure satisfaction and address any concerns or issues. Maintain communication with clients throughout the relocation process, providing updates and assistance as needed.
- Research and Review: Conduct research on industry trends, best practices, and regulatory requirements, providing insights and recommendations to the operations team. Review and audit operational processes and documentation to ensure compliance and accuracy.
- File Management: Keep files and records organized and up-to-date, including employee records, customer contracts, and operational documents. Maintain confidentiality and security of sensitive information in accordance with company policies.
Skills:
- Proven experience in administrative support roles
- Strong organizational skills and attention to detail, with the ability to prioritize tasks and manage time effectively.
- Excellent communication skills, both verbal and written, with a customer service-oriented approach.
- Ability to work independently with minimal supervision and collaborate effectively in a team environment.
Qualifications:

Associate degree in business administration, or a related field (preferred but not always required).

Working knowledge of CRM platforms or dispatch software.

Advanced skills in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Zoom, Teams) and other office software.
